The Bookkeeper/ Office Manager is responsible for overseeing the accounts payable and accounts receivable processes. Additionally, the Bookkeeper/ Office Manager is responsible for various administrative duties and resident activities.
Responsibilities:
Accounts Payable
- Receive all vendor invoices and present to the Director for account coding and approval.
- Validate and input invoices into QuickBooks for accounts payable processing.
- Process payments to vendors and present checks to the Director for signatures.
- Process year-end 1099’s to vendors.
- Resolve vendor invoicing issues.
- Maintain vendor files in QuickBooks.
Accounts Receivable
- Maintain resident files in QuickBooks.
- Process resident billing to include sending statements to residents.
- Set-up resident ACH bank draft templates and populate billing information.
- Collect and deposit payments from residents for all maintenance service, monthly maintenance fees, and property tax receipts.

- Assist accounting and finance person with keying GL entries and maintenance of QuickBooks as needed.
- Assist in payroll timesheet input.
- Prime for coordinating annual resident activities at each community.
- Assist in maintaining clubhouse supplies at each community.
- Assist in resident communications as needed.
- Assist in quarterly resident meetings as needed.
Qualifications:
- Minimum college degree desired.
- Accounting experience required.
- Working knowledge of Quick Books required.
- Experience working with senior adults a plus.
