Summary/Objective: The Payroll Specialist handles all payroll related functions for the company. This includes collecting data from center partners needed to process payroll, taxation forms, garnishments, benefits deductions, as well as maintaining employee data, handling payroll questions and completing any other tasks necessary for monitoring and overseeing the company’s payroll process under the leadership of the Director of Total Rewards. 

Essential Functions:

Accurate and timely processing of payroll for multiple locations in bi-weekly payroll environments. Payroll processing accountabilities will include: Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions.

• Process payroll for close to 4,000 team members at all locations

• Coordinate HR changes in payroll (e.g. terminations, new hires)

• Oversee electronic payments and distribution of payroll checks

• Process Support Center payroll

• Conduct onsite/virtual training for all centers and new hires

• Update data with salary or wage adjustments

• Process other financial compensation or deductions (e.g. annual bonuses, severance pay, taxes, worker’s compensation)

• Assist with and manage tax and labor law compliance

• Garnishments, Wage Assignments and Tax Levys

• Balancing payroll files and reports

• Year-end processing, including W-2 balancing and auditing data

• Calculating manual checks

• Resolving employee inquiries

• Following standard protocol for data entry into and reporting from HR systems

• Learning standard protocols, procedures and systems across the spectrum of payroll activities

• Production of Payroll reports for upper management, upon request

• Answer employee questions or complaints about salaries and payments

• Work with authorities (e.g. IRS) on audits or requests

• Ensure compliance with laws and regulations applicable to position and acts in accordance with North Shore HealthCare’s Compliance Program

• Attends and participates in various training, committees and other meetings as scheduled and directed

• Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies

• Other duties as assigned

Requirements

• Proven experience as a payroll specialist similar role

• Familiarity with payroll processes

• Good knowledge of legislation relevant to accounting and payroll

• Working knowledge of payroll systems (e.g. Kronos, Paycor, ADP)

• Comfortable with Excel (functions, data, etc.)

• An analytical mind with good math skills

• Strong communication skills

• Excellent attention to detail

Safety

• Knows and follows North Shore HealthCare rules

• Follows North Shore HealthCare dress and hygiene policies

• Demonstrate proper use of equipment

• Report equipment needs or repairs

• Follows North Shore HealthCare smoking policies

• Reports and documents any incidents or accidents of residents, staff or visitors to the appropriate

North Shore HealthCare personnel

• Reports all hazardous conditions/equipment to Center Executive Director and Chief Compliance

Officer

• Uses required protective equipment (as needed during center visits)

• Follows infection control standards, policies and procedures

Resident Rights

• Knows Resident Rights

• Help the residents/patients exercise and/or protect their rights

• Maintains confidentiality of resident/patient and employee information

HIPAA

• Follows and adheres to North Shore HealthCare’s policies and procedures implementing HIPAA requirements for the privacy and security of protected health information

• Uses and/or discloses only minimum amount of Protected Health Information necessary to complete assigned tasks

• Reports all suspected violation of company’s HIPAA policies or procedures to North Shore HealthCare Vice President of Human Resources

Education & Experience:

• High School Diploma or GED required, associate’s degree in accounting or human resources related preferred

• Experience sufficient to demonstrate the above competencies; typically gained through a minimum of 3+ years of payroll processing in a multi-state environment

• Minimum 2+ years of payroll experience

• Experience working in a culture of engagement, collaboration and teamwork

• Computer proficiency with Microsoft Office applications and Human Resources Information Systems (HRIS)

• Decision-making, strategic thinking, leadership, interpersonal and ethical conduct skills

• Strong organizational skills

• Excellent communication skills

• Experience working in a fast-paced environment

Work Environment/Physical Requirements

The responsibilities of this position may involve travel and physical activities including standing, occasional lifting (up to 50 pounds unassisted), bending, stooping, pushing, pulling and twisting. When

visiting nursing homes, all employees may be required to provide lifting and transfer assistance to residents. Lifting and/or transferring some residents will require use of a lifting device and /or assistance

from other staff.
