Payroll Specialist

JOB SUMMARY

The Payroll Specialist organizes and checks payroll documents; prepares inputs to automated payroll system; distributes paychecks, timecards and other payroll documents; reconciles payroll records; and processes payroll deductions for direct deposit, wage garnishment and employee hospital bills. Files tax forms and provides quarterly and annual payroll reports.

PRINCIPLE FUNCTIONS includes the following, other duties may be assigned:

• Data entry and timecard review for payroll preparation. Works closely with Human Resources to determine the validity of timecards based on interpretation of five bargaining contracts and employee handbook.
• Calculates retro adjustments provided by Human Resources.
• Maintains, reconciles, and audits payroll records.
• Responsible for compensation-related employment verifications.
• Reconciles benefit invoices for Symetra and AFLAC.
• Reconciles and funds retirement, health savings and flex spending accounts. 
• Prepares journal entries necessary for general ledger and provides accounting supervisor with payroll statistics and totals.
• Assists in the modification of automated payroll systems to meet required changes. May develop system change specifications for submission to Data Processing department.
• Distributes timecards, paychecks, labor distribution reports, personnel action requests, and other payroll related documents.
• Prepares all payroll tax reporting documents and deposits all taxes.
• Works closely with independent auditors and state auditor's office, providing key payroll information and statistics.
• Provides training and assistance to directors and supervisors regarding review and correction of timecards.
• Controls advances for education and travel and reconciles the travel cash fund account and corporate VISA account.
• Assists employees and administration with payroll related questions and data collection requirements.
• Understands and interprets collective bargaining agreements and provider contracts.

JOB KNOWLEDGE & QUALIFICATIONS

Education

• Highest level of education completed, minimum high school diploma or equivalent required.
• Additional coursework in business accounting is preferred, but not required.

Training and Experience

• Two (2) years prior payroll experience; accurate keyboarding and 10-key skills.
• Hospital experience is preferred.
