Serving Maine’s Midcoast communities of Bowdoin, Bowdoinham, Harpswell, and Topsham, MSAD 75 is home to over 2,350 students and more than 600 faculty and staff members.

MSAD 75 is seeking an experienced Payroll Specialist to join our District Office team.

JOB TYPE: Nonexempt - 40 hours/week, Full-Year

PAY RATE: $29.92 - $32.63/hour  (DOE)    

REPORTS TO: Business Manager 

JOB GOAL: To accurately prepare the district’s bi-weekly payroll and associated reports, maintain complete payroll records, and provide payroll information requested by district employees and other appropriate parties.

MINIMUM QUALIFICATIONS:

• Associate’s Degree or on-going course work towards a degree preferred with at least 3 - 5 years of related payroll experience; 
• Valid State of Maine Department of Education background check (CHRC) authorization required at the time application;
• Solid knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (MSWord, Excel, Access, and PowerPoint, Google Workspace);
• Good public relations and organizational skills; 
• Prior experience with computerized payroll systems required;
• Prior experience with payroll software preferred; ability to function in an inflexible schedule; ability to work independently, making judgment calls expeditiously and appropriately.
• Experience with School ERP Pro is preferred.
• Knowledge and experience processing Maine Paid Family and Medical Leave (PFML) claims.

How to apply for or renew a CHRC/Certification

ESSENTIAL PERFORMANCE RESPONSIBILITIES:

• Process bi-weekly payroll, including stipend payments and per diem requests. 
• Maintain accurate payroll records and check registers in business office files and employee personnel records; maintain electronic employee database and payroll files.
• Maintain individual payroll deductions accounts and garnishments, and forward deductions to appropriate agencies.
• Maintain employee leave balances and reconcile electronic postings to actual allowances; maintain annual leave records.
• Process and/or complete the various forms and reports required by the Maine State Retirement System; remain informed about MSRS rules and regulations.
• Process/report/quarterly filing for Maine Paid Family and Medical Leave (PFML) Program
• Complete various reports and forms required by the district, including but not limited to unemployment insurance, staff information, staff directories, work assurance forms, and information for the preparation of timesheets.
• Respond to ongoing requests for payroll information from employees and outside agencies, and refer them to other sources of information as necessary.
• Provide routine payroll information to various departments for recurring periodic reports, annual budget reconciliation, and annual audit; prepare payroll-related general ledger journal entries for accountant.
• Serve as back up to basic accounting functions in the absence of the accountant. In particular, entering new employee information into the financial software, processing deposits, and aligning account code charging to appropriate funds. 
• Responsible for administering hourly pay software TimeClock Plus. 
• Maintain confidentiality of employee information.
• Other duties as assigned.
