Accounting Assistant

Helical Pile Solutions is a deep foundations contractor with over 30 years of experience in the industry, recently acquired by Java Holdings Ltd. ("Java"). Java staff have over 50 years of experience building some of Canada's largest electrical infrastructure projects.

Position Summary: 

We are seeking an Accounting Assistant to join our growing team. This position will be based out of Nisku, AB. Reporting directly to the Controller, this role will be responsible for the tracking and reporting of all credit card transactions for multiple companies, payroll time entry, and producing A/R invoices.  Support in other areas of accounting may also be required.

Essential Functions, Major Duties, and/or Accountabilities:

Credit Card Processing:

• Pull credit card transactions from online platform
• Obtain receipts from all cardholders
• Code and report all transactions for posting in system
• Prepare pivot tables for upload
• Balance transactions to credit card statement
• Handle questions and issues from cardholders

Payroll Time Entry:

• Collect and obtain appropriate approvals for all timesheets
• Follow up on missing timesheets
• Enter labour and equipment hours into payroll system
• Calculate stat pays where applicable
• Run reports and send to managers for approval

Accounts Receivable:

• Prepare LEMs from timesheets
• Generate A/R invoices from LEMs
• Obtain approvals
• Set up job folders and report new jobs for setup

Qualifications and Skills: 

• High school diploma, plus some post-secondary education preferred
• 2-5 years of experience in a fast-paced setting
• Experience with job costing preferred
• Strong mathematical skills
• Advanced skills in Excel, including pivot tables
• Ability to prioritize tasks according to importance
• Ability to meet deadlines
• Excellent organizational skills and strong attention to detail
• Strong work ethic and positive attitude
• Enjoy working independently as well as in a team environment, with all organizational levels
• Excellent communication skills, both verbal and written
