Senior Payroll Specialist

The Senior Payroll Specialist is an onsite role that is responsible for the accurate and timely processing of weekly payroll and all related payroll administration activities. This position ensures compliance with payroll regulations, maintains employee payroll records, and serves as the primary point of contact for payroll-related matters. The Senior Payroll Specialist supports employee satisfaction through accurate compensation administration and exceptional internal customer service. This role serves as the primary payroll processor for the company.

The successful candidate for this position is highly organized, detail-oriented, and committed to delivering exceptional internal customer service. 

This position earns annual wages of $70000-$80000 depending on experience.

Essential Duties and Responsibilities

Payroll Administration

• Process weekly payroll for all employees.
• Review, audit, and validate employee timecards prior to payroll processing.
• Enter and maintain payroll changes including wage adjustments, deductions, garnishments, and reimbursements.
• Ensure timely and accurate payment of employee wages.
• Process and validate employee deductions and withholding amounts.
• Maintain payroll records and supporting documentation.
• Serve as the primary contact for employee payroll inquiries.

Payroll Compliance & Tax Reporting

• Prepare and file payroll tax deposits and related payments.
• Complete quarterly payroll tax reports.
• Assist with year-end payroll processing and tax reporting.
• Ensure compliance with federal, state, and local payroll regulations.
• Monitor payroll audits and assist with audit requests.

Benefits & Retirement Administration

• Monitor 401(k) contributions and deductions.
• Review Highly Compensated Employee (HCE) contribution limits.
• Assist with annual 401(k) census and audit activities.
• Review and monitor employee vacation balances and accruals.
• Monitor vacation accruals for potential loss-of-time situations.

Reporting & Employee Data

• Produce monthly and ad-hoc reports as assigned.
• Maintain personnel payroll records and supporting documentation.
• Assist with onboarding and termination payroll processing.

Employee Service

• Provide payroll-related analysis and support to employees and managers, resolving payroll issues professionally and promptly. 
• Educate employees about payroll, deduction, and vacation information.
• Maintain strict confidentiality of employee compensation and personnel information.

Qualifications

• Minimum 3-5 years of payroll administration experience.
• Experience processing payroll for a multi-location workforce.
• Knowledge of payroll tax regulations and compliance requirements.
• Strong Excel, Word, and Outlook skills.
• High attention to detail and organizational skills.
• Advanced problem-solving and analytical abilities.
• Strong verbal and written communication skills.
• Ability to maintain confidentiality.
• UKG experience preferred.
