Position Summary
The Full Charge Bookkeeper is responsible for managing the day-to-day accounting and bookkeeping functions of Ministerial Association of California Counties with accuracy, confidentiality, and integrity. This position supports the mission of the religious nonprofit by maintaining complete and accurate financial records, processing transactions, reconciling accounts, assisting with payroll and reporting, and supporting sound financial stewardship in accordance with organizational policies, nonprofit accounting practices, and applicable legal requirements.
Essential Duties and Responsibilities
- Maintain accurate and complete financial records, including the general ledger, chart of accounts, journal entries, and supporting documentation.
- Process accounts payable, including reviewing invoices, verifying approvals, coding expenses, preparing payments, and maintaining vendor records.
- Process accounts receivable, including deposits, donor or contribution records, reimbursements, receipting support, and other incoming funds.
- Reconcile bank accounts, credit card accounts, petty cash, and balance sheet accounts on a regular monthly schedule.
- Prepare monthly financial reports, budget-to-actual reports, cash flow summaries, and other reports for leadership, finance committees, board members, or ministry/program leaders as requested.
- Assist with payroll processing, payroll records, employee deductions, paid time off records, and coordination with payroll providers.
- Prepare or assist with annual tax and compliance documents, including Forms 1099, workers’ compensation audit information, charitable reporting support, and documentation needed for Form 990 or other filings.
- Support annual budgeting, budget monitoring, audit preparation, and work with outside accountants, auditors, or consultants as needed.
- Track restricted, designated, grant, ministry, or program funds to ensure proper coding, reporting, and use consistent with donor intent and organizational policy.
- Maintain confidential financial, payroll, donor, and personnel-related information with discretion and professionalism.
- Help strengthen internal controls by following established approval processes, segregation of duties, documentation standards, and record retention practices.
- Respond professionally to finance-related questions from staff, leadership, vendors, donors, and ministry partners.
- Perform other related duties as assigned in support of the organization’s mission and operations.
Required Qualifications
- Minimum of three years of bookkeeping, accounting, or full charge bookkeeping experience.
- Experience with accounts payable, accounts receivable, bank reconciliations, payroll support, general ledger maintenance, and financial reporting.
- Strong working knowledge of accounting principles and nonprofit financial practices.
- Proficiency with QuickBooks Online (QBO) and the ability to learn and work effectively with other accounting, payroll, donor management, or financial reporting systems.
- Proficiency with Microsoft Excel, Word, Outlook, and standard office technology.
- High level of accuracy, organization, follow-through, and attention to detail.
- Ability to manage confidential information and exercise sound judgment.
- Ability to work independently, meet deadlines, and communicate clearly with staff and leadership.
- Commitment to supporting the mission, values, and faith-based purpose of the organization.
- Ability to complete required employment eligibility verification and, if applicable, any job-related background check process conducted in accordance with applicable law.
Preferred Qualifications
- Associate’s or bachelor’s degree in accounting, finance, business administration, or a related field.
- Experience working in a church, ministry, religious nonprofit, school, or other nonprofit environment.
- Experience tracking restricted funds, designated gifts, grants, ministries, departments, or cost centers.
- Experience preparing audit schedules, board reports, budget reports, or financial statements.
- Experience with a range of accounting software platforms and the ability to evaluate or adapt to new software options as organizational needs evolve.
- Familiarity with California employment, payroll, wage and hour, and nonprofit compliance practices.

Work Schedule and Environment
This is a full-time, in-office position scheduled Monday through Friday for eight hours per day. The position primarily works in a professional office environment and routinely uses a computer, phone, copier, scanner, calculator, and standard office equipment. The employee must be able to sit for extended periods, communicate effectively, view a computer screen, use hands and fingers for keyboarding and data entry, and occasionally lift or move office supplies or files weighing up to 20 pounds.
