Specific/Mandatory Duties: The essential responsibilities of the Accounting Generalist include but are not limited to the following:
- Knowledgeable in all financial areas and the adaptability to step in when necessary & as needed.
- Process payroll on a bi-weekly basis and intern payroll two times per month.
- Ensure daily sales and inventory transactions from the POS software are entered timely into the accounting software.
- Prepare weekly sales pacing reports and distribute to all directors.
- Responsible for several bank and other balance sheet reconciliations, along with any error resolution, using accounting software.
- Responsible for reconciling employee benefit invoices against payroll/benefit software monthly, as well as resolving any discrepancies on a timely basis.
- Ensures that all bank deposits are sent timely per schedule, verified, and that the data entry from the Sales Reports and transaction media is entered into the financial software timely and accurately.
- Deposit delivery to bank as needed.
- Deal effectively and with urgency, the chargebacks and disputes with credit card companies through the POS platform.
- Assist the Fractional CFO with the production of month-end financial statements and other assigned reports.
- Assist with scanning, coding, and obtaining approval for accounts payable invoices through Ramp.
- Issue on-site payments with checks, when required.
- Responsible for centralized purchasing for requests received through ticketing system, a well as ensuring central supply stock inventory is maintained at adequate levels.
- Maintain records of all in-kind donations.
- Submit monthly sales tax and occupancy tax returns / payments to the appropriate agencies on a timely basis.
- Assist Fractional CFO with annual audit requests, as needed.
- Maintain internal controls at all times and suggests improvements to controls as needed.
- Maintain and file company records, reports, financial statements, and evidence of company business.
- Ad hoc reports and analysis as required by the Fractional CFO or Executive Director.
- Ensure adherence to Employee Manual, Risk Management Plan, corporate procedures and policies, Departmental mission and goals, and Fossil Rim mission, vision, values and current strategic plan.
- Participate in and share all accounting knowledge in educating staff as required.
- Stay up to date with compliance and legal updates and information.
- Follow strict adherence to confidentially policies and information.
- Process incoming and outgoing packages and mail
- Maintain a flexible schedule around spring break, audits, to allow for potential overtime.
- Ensure compliance with Employee Handbook, Risk Management Plan, Financial Policies and Procedures Manual, all other safety rules & procedures, the company vision, mission and goals.
- Other responsibilities as assigned.
- Ad hoc reports and analysis as requested by the Fractional CFO, Executive Director, or Director of HR.
- Increase self and accounting awareness through seminars and training.
- Act as the “Go-To” subject matter expert when Fractional CFO is not on-site.
- College degree in the field of accounting is highly preferred or equivalent experience and education
- Experience in non-profit and small office environments is highly preferred.
- Must have proven accounting job skills.
- Experienced with POS systems and use of QuickBooks Online, Ramp, and Paycor accounting software is desirable.
- Possess Intermediate knowledge of MS Excel.
- Learn quickly and adapt well to new responsibilities and assignments.
- Must be organized, timely, accurate, and detail-oriented in assigned tasks.
- Must have demonstrated oral and written communication skills.
- Must have a willingness to take on assignments and tasks which may be unrelated to the core job description but which are important to the company.
- Problem Solver with a can-do attitude.
- Must be adaptable to step in when, where, and as necessary.
- Must be capable of directing other department staff when need arises.
- Regular attendance is required as scheduled.
- A 40-hour workweek requiring flexibility and ability to work weekends and holidays.
- Adherence to all company policies, rules, and procedures.
- Be available for after-hours and weekend call out in emergencies.
- Available to work extra time as needed. (Minimal)
