This position provides advanced administrative, clerical, and accounting support to ensure efficient Accounts Payable operations. The role requires independent judgment, strong organization, and the ability to manage multiple priorities in a school or district office setting. Responsibilities include communication management, all accounts payable functions, recordkeeping, and assigned financial/accounting functions.
Supervision
Works under the direction of the Accounting Supervisor
Essential Duties
- Perform advanced clerical and administrative duties including correspondence, reports, filing, and data entry using district software systems.
- Respond to phone, email, and in-person inquiries; direct issues appropriately and provide accurate information to staff, parents, and the public.
- Maintain organized electronic and physical records while ensuring confidentiality of student and personnel information.
- Support office operations and provide coverage for clerical staff as needed.
- Manage accounts payable processing, purchase orders, and invoice tracking (if assigned accounting duties).
- Maintain vendor records, financial files, and assist with budget monitoring and reporting.
- Support reconciliation processes with the Town Comptroller and assist with audits, budget preparation, and reporting.
- Maintain student activity accounts and fixed asset records (if assigned).
- Recommend improvements to administrative and accounting procedures for efficiency and compliance.
Qualifications
- High school diploma or equivalent required; additional office or accounting experience preferred.
- Strong computer skills including word processing, spreadsheets, databases, and presentation software.
- Knowledge of office procedures and basic bookkeeping principles.
- Ability to manage confidential information and work independently with strong attention to detail.
- Strong communication and organizational skills.
Pay
Pay is in accordance with the pay schedule set forth in the Collective Bargaining agreement between the Brookfield Board of Education and the United Public Service Employees Union
