ABOUT THE POSITION
The Payroll Clerk, under direction, will plan, organize, supervise, and participate in the payroll record management and reporting activities and functions. The Payroll Clerk will perform complex and specialized payroll fiscal records management and reporting functions, and coordinate the employee fringe benefit enrollment process. The Payroll Clerk is a key member of the District business team and will assist in keeping school district financial records current and ensure that the district derives maximum educational dividends from the expenditures of every school dollar.
JOB QUALIFICATIONS
This position requires:
- A high school diploma, G.E.D. Certificate or demonstrated progress toward obtaining a G.E.D. as required by Kentucky law.
- Two (2) years professional experience in a business office setting, work experience in payroll or accounting is preferred.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The following are listed for reference. Success will involve the ongoing demonstration of desire and ability to perform responsibilities effectively, efficiently, pleasantly and with a focus on student success.
- Coordinate, organize and supervise the maintenance of employee payroll records, the computation of payroll data and related employee insurance and benefits deductions and insurance vendor payments.
- Audit, monitor and clarify payroll-related documents, including time reports, payroll listings, services records and other similar materials.
- Review, interpret and apply policies, guidelines and regulations concerning salary computations, leave benefits, and State and Federal tax withholding procedures.
- Confer with District and work unit personnel concerning personnel services assignment changes that would affect salary computations.
- Assist with processing of new employees, employee separation, promotions, salary advancement, sick and vacation leave computations.
- Participate in retirement benefit computations.
- Prepare or coordinate the preparation of annual leave reports.
- Answer complex inquiries relating to payroll information and data.
- Prepare various fiscal deductions, payroll reports, and withholding statements.
- Attend conferences, meetings and/or training to keep current on financial practices and procedures.
- Provide reports and other information for special financial audits.
- Work cooperatively with others and independently with little direction while meeting schedules and timelines.
- Carry out other professional responsibilities including punctuality, reliability, care of equipment and materials, planning, communication, confidentiality, and following district and school policies.
- Ability to use technology for a variety of purposes, including but not limited to supporting instruction, accessing and manipulating data, professional growth and productivity, communicating and collaborating with colleagues, parents, vendors and the community, and conducting research/solving problems. Proficiency in technology skills must be demonstrated.
- Strict adherence to the Policies and Procedures of the Boyle County Board of Education, the Employee Handbook and Kentucky Revised Statutes.
- Fulfilling contractual obligations of days worked.
- Perform other duties as assigned.
SUPERVISORY RESPONSIBILITIES: None.
WORKING CONDITIONS
- Regularly required to use hands for simple grasping and fine manipulatives.
- Regularly required to communicate effectively using speech, vision and hearing.
- Frequently required to stand; walk; and stoop, kneel, crouch, or crawl.
- Occasionally required to sit and climb or balance. Occasionally lift and/or move up to 50 pounds.
- Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
- Occasionally exposed to outside weather conditions.
