Payroll Administrator

We’re looking for a Payroll Administrator to join The Care Group on a 4-month temporary contract and play an important role in supporting accurate and timely payroll and benefits administration across our care sites.

This is a great opportunity for someone with full-cycle payroll experience who enjoys working with multiple stakeholders and is comfortable managing confidential information, competing priorities, and strict payroll deadlines.

Schedule: Monday to Friday, 8:30am – 4:30pm
Location: Coquitlam, BC – Onsite
Employment Type: Temporary, 4-Month Contract

Key Responsibilities

• Process hourly and salaried payroll across multiple union and non-union sites using ComVida.
• Review and verify timesheets, attendance, overtime, vacation, leaves of absence, and other payroll-related information.
• Collaborate with Office Managers to ensure accurate hours balancing, payroll processing, bank submissions, and payroll reporting.
• Process employee status changes, including new hires, terminations, transfers, leaves, and wage changes.
• Generate Records of Employment (ROEs), calculate final pay, and coordinate benefit changes or cancellations as required.
• Prepare payroll reports, remittances, and documentation for vendors, government agencies, and Health Authorities, including CRA, WCB, HSCIS, and EHT.
• Administer and maintain employee pension, insurance, savings, and benefit plans, including MPP, Group RRSPs, and extended health benefits.
• Maintain accurate payroll and benefits information in ComVida and ensure updates are processed in a timely manner.
• Support payroll and benefits administration related to current and newly ratified collective agreements.
• Prepare payroll and benefits-related reconciliations, including general ledger accounts.
• Support month-end, quarter-end, and year-end payroll reconciliation processes.
• Assist with year-end processing, including T4s and applicable pension reporting.
• Maintain accurate and up-to-date employee payroll files and records.
• Prepare and maintain seniority lists for Directors of Care and union representatives as required.
• Process union leave reimbursement invoices and related remittances.
• Track applicable Criminal Record Check and work permit requirements and ensure renewals are kept up to date.
• Respond to employee and management payroll and benefits inquiries in a timely and service-oriented manner.
• Assist with payroll and benefits projects, including system updates, process improvements, system rollouts, and organizational changes or acquisitions.
• Identify opportunities to improve the efficiency and accuracy of payroll processes.
• Maintain a high level of confidentiality and discretion when handling sensitive employee and payroll information.
• Perform other related duties as assigned.

Qualifications & Skills

• Minimum 1–2 years of full-cycle payroll experience, preferably in a high-volume environment.
• Experience processing payroll across multiple locations and/or union and non-union environments is considered an asset.
• Experience with ComVida payroll software is preferred.
• PCP designation or working toward a PCP designation is preferred.
• Strong working knowledge of Microsoft Office, including Word, Excel, Outlook, Teams, and OneDrive.
• Strong understanding of payroll processes, benefits administration, and applicable payroll requirements.
• Excellent attention to detail and accuracy.
• Strong organizational, multitasking, and time-management skills, with the ability to meet strict payroll deadlines.
• Demonstrated ability to maintain confidentiality and exercise sound judgment and discretion.
• Strong communication and interpersonal skills, with the ability to build positive relationships with employees, management, site leadership, unions, and external agencies.
• Strong problem-solving skills and the ability to effectively resolve payroll-related issues.
• Flexible and adaptable, with the ability to respond positively and professionally to changing priorities.
• Service-oriented and committed to supporting employees and internal teams.
• Ability to work independently while contributing effectively as part of a team.
• Positive attitude, strong work ethic, and willingness to support the team as needed.
• Genuine respect and compassion for vulnerable individuals and the residents we serve.
• Previous experience in long-term care or healthcare is considered an asset.
