POSITION SUMMARY
- The Club Controller is responsible for overseeing the accounting and financial operations of Spring Run Golf Club. This position coordinates all accounting functions, including maintaining financial records, preparing monthly financial reports, assisting with the annual budget process, completing tax-related documents, and coordinating with external auditors.
- While this position reports directly to the Office Manager, the Controller works closely with the General Manager to provide accurate financial information, reporting, and support for operational and strategic decision-making.
- The Controller plays a key role in ensuring the accuracy, integrity, and consistency of the Club’s financial information. This position also supports the Administration team by maintaining a collaborative, service-focused, and team-oriented approach within the office.
- The individual in this role must demonstrate strong financial judgment, attention to detail, confidentiality, professionalism, and the ability to work collaboratively with the General Manager, department leaders, Finance Committee, and fellow administrative team members.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Accounting & Financial Reporting
- Oversee the Club’s general accounting functions, including cash management and accounts payable.
- Prepare monthly trial balances, financial statements, supporting schedules, and related financial reports.
- Post journal entries accurately and in a timely manner.
- Maintain the fixed assets schedule.
- Reconcile all bank accounts.
- Prepare audit schedules and supporting documentation for external auditors.
- Manage and conduct internal auditing processes to ensure financial records are accurate and established policies and procedures are consistently followed.
- Oversee inventory reporting and related accounting procedures on a regular basis.
Budgeting, Forecasting & Financial Oversight
- Prepare budgets and financial forecasts in coordination with department leaders, the Finance Committee, and the General Manager.
- Serve as the primary contact for banking relationships, including investing excess funds and administering the Club’s line of credit.
- Provide financial information, analysis, and reporting support as needed to assist with operational and strategic decision-making.
Accounts Payable, Payroll & Tax Responsibilities
- Oversee the accounts’ payable function, including proper invoice coding, check runs, and statement balance review.
- Supervise accounting operations related to payroll and accounts receivable.
- Verify quarterly and year-end reports from the designated payroll company.
- Report and remit monthly Sales and Use Tax to the State.
- Prepare and report all 1099 payments to the IRS.
Benefits & Employee-Related Financial Administration
- Maintain and administer group health, dental, and life insurance policies.
- Monitor and ensure contributions are properly made and updated for insurance, pension, and deferred compensation accounts.
- Coordinate with vendors and internal staff to support accurate employee benefit and payroll-related records.
Technology & Systems Support
- Supervise implementation and training related to accounting and club-related computer systems.
- Maintain and support computer hardware and software related to club operations.
- Troubleshoot system issues as needed and coordinate support when necessary.
- Maintain accurate financial records, spreadsheets, and supporting documentation.
Team Leadership & Administrative Support
- Provide guidance to department team members and ensure work is completed accurately and timely.
- Greet members and guests in a professional and courteous manner and assist with questions as needed.
- As part of the Administrative Team, assist with phones, messages, and routing calls when necessary.
- Support additional administrative projects and responsibilities as assigned by the Office Manager.
QUALIFICATIONS
Education & Experience
- Bachelor’s degree required; degree in Accounting strongly preferred.
- Minimum of two years of accounting experience required.
- Experience with fund accounting preferred.
- Previous experience in the private club, country club, hospitality, or member-service industry is a plus.
- Experience with computerized accounting systems, spreadsheets, and word processing required.
- Experience with IT systems preferred.

- Proficient in Microsoft Office or Google Workspace; ability to learn NorthStar and DwellingLive.
