Position Summary: The Accounting Administrator is responsible for supporting the company’s accounting operations through the administration of accounts payable and contractor payable functions.  This role ensures accurate financial recordkeeping, timely processing of transactions, and compliance with company policies and applicable regulations.
Minimum Qualifications: High School Graduate and one year of related experience.
Proficiency in Microsoft Office, particularly Microsoft Excel. 
Preferred Qualifications:
  • AA degree in Accounting, Business Administration or related field.
  • Two years PR & AP experience.
  • Experience with Accounting software and NetSuite software.
  • Military experience preferred.

Accounts Payable
  1. Perform day to day accounts payable transactions to ensure accurate and timely payment processing.
  1. Establish and maintain relationships with new and existing vendors.
  1. Receive and analyze bills for accuracy.
  1. Obtain appropriate approvals for invoices prior to posting.
  1. Research and resolve invoice and vendor issues.
  1. Ensure bills are paid in a timely and accurate manner.
  1. Timely responses to internal and external vendor inquiries/issues.
  1. Ensure compliance with internal accounting controls, company policies, and applicable financial regulations.
  1. Maintain organized records of invoices, payments and supporting documentation.
Contractor Payables
  1. Record direct deposit amounts for assigned contractors accounts in software system.
  1. Review schedules posted in QGenda (web-based scheduling) for verification and record all direct deposit adjustments due to be paid to assigned contractors.
  1. Collect, verify, enter and maintain assigned contractor banking records.
  1. Respond to and resolve contractor inquiries & corrections regarding payments. Communicate issues to Payroll Administrator.
  1. Record and initiate direct deposits for contractor payments
  1. Maintain contractor records by following internal policies and procedures for processing payments including the internal process regarding fraud prevention.
  1. Ensure confidentiality and security of payroll information and data.
  1. Maintain a working knowledge of 1099 tax regulations and ensure accurate reporting and compliance with company and IRS requirements.

  1. Ability to work independently while maintaining accountability for assigned responsibilities.

Work Environment: Remote work. Standard home office.
Travel Requirement: Travel on average 2-3 times a year for company meetings & events.
Compensation: The base salary range for this role is $50,000 to $67,000 per year.
