Lotus Group is proud to partner with our valued client, a group of locally owned, growing civil construction and general contracting companies based in Spruce Grove, Alberta. With operations spanning Canada, they specialize in underground infrastructure, earthworks, petroleum installations, and facility maintenance. They are currently at a record headcount and continuing to expand.

They are seeking an Accounting Administrator to join their accounting team. Reporting to the Controller, this role is primarily focused on full-cycle accounts payable, corporate credit card reconciliation, and employee onboarding and offboarding. It offers long-term stability and a clear path for growth, with the opportunity to develop as the company continues to scale.

You'll be someone who can pick up the phone, chase down a receipt, build rapport with field crews, and keep your work clean, all without getting flustered when things don't go exactly as planned.

Key Responsibilities:

Accounts Payable & Financial Processing:

• Process full-cycle accounts payable across multiple entities, including invoice entry, coding, and payment processing.

• Review and process corporate credit card transactions, cross-referencing receipts against purchase orders and tracking order history.

• Coordinate with field staff and department heads to obtain receipts, resolve discrepancies, and ensure compliance with company policies.

• Process outgoing EFT payments.

• Reconcile employee expense reports and generate credit card expense reports.

• Assist with multi-province PST filings (rules vary by province).

• Support month-end and year-end close processes, including journal entries and reconciliations.

• Accurately input financial data into QuickBooks Desktop and maintain organized, up-to-date records of all invoices, receipts, and supporting documentation.

• Assist with government filings for GST and PST as required.

• Process credit applications as needed.

HR Onboarding & Offboarding:

• Coordinate the onboarding of new employees (primarily seasonal field staff) through Bamboo HR, including sign-on packages, benefits enrollment, and document collection.

• Manage offboarding processes, including collecting company assets (keys, credit cards, fuel cards), coordinating with fleet management on vehicle returns, and processing terminations in Bamboo HR.

• Maintain up-to-date employee records and ensure all onboarding/offboarding documentation is complete and accurate.

General Accounting Support:

• Contribute to month-end close activities within a one-week turnaround, supporting the Accounting Manager as duties are distributed.

• Prepare and maintain reports to track accounting metrics and job costing as required.

• Cross-train on payroll and other accounting functions to provide vacation coverage for the team over time.

• Work closely with cross-functional teams to obtain necessary information for accounting processing.

• Maintain confidentiality by adhering to legal and ethical standards

Key Qualifications:

• Diploma or degree in Accounting, Finance, or a related field.

• 3+ years of hands-on experience in an accounting role with a focus on accounts payable and/or accounts receivable.

• Proficiency in QuickBooks Desktop is required.

• Strong attention to detail and accuracy in data entry

• Excellent organizational skills with the ability to develop and maintain your own systems for tracking work across multiple companies and crews.

• Strong communication and interpersonal skills; comfortable picking up the phone, following up with field staff, and building rapport across teams.

• Solution-focused mindset; adaptable, calm under pressure, and able to redirect when things don't go as planned.

• Ability to work independently and collaboratively in a small, close team environment.

• Ability to maintain a high level of confidentiality in all interactions.

The following experience is considered a strong asset:

• Construction industry accounting experience

• Experience with multi-entity or group of companies accounting structures.

• Payroll processing experience.

• HR onboarding/offboarding administration experience.

• Familiarity with WorkMax, Bamboo HR, SiteDocs, and Google Workspace (Drive, Docs, Sheets).
