Sr. Payroll Specialist

Job Summary:

This position is responsible for the accurate, timely, and compliant execution of payroll. This role is hands-on personally processing bi-weekly, multi-state payroll for 500+ employees within ADP Workforce Now. In addition, this role will serve as the internal subject-matter expert for payroll and tax compliance and support employees with payroll questions. Primary Duties and Responsibilities

Payroll Administration 

1. Personally process bi-weekly and/or weekly payroll for exempt and non-exempt employees across multiple states 

1. Manage payroll inputs including new hires, terminations, promotions, bonuses, retro pay, garnishments, benefit deductions and off-cycle checks 

1. Ensure compliance with FLSA, state wage/hour laws, tax regulations, and local payroll requirements 

1. Review payroll registers, variance reports, and reconciliation reports prior to submission 

1. Oversee and execute quarter-end and year-end payroll activities, including W-2s, audits, and tax filings 

1. Process monthly GL entries and reconciliations, accruals, and payroll-related reporting 

1. Ensure compliance with ERISA, ACA, COBRA, HIPAA, and applicable state regulations 

1. Act as the go-to person for resolving payroll- related questions and issues. 

Process Improvement

1. Develop and maintain standard operating procedures (SOPs) for payroll processes 

1. Lead payroll and benefits audits and implement corrective actions as needed 

1. Identify opportunities to improve efficiency, automation, and employee experience 

1. Regular and reliable attendance expected. 

1. Other work-related duties as assigned by supervisor/manager. 

Minimum Knowledge, Abilities, and Skills Required

1. Bachelor’s degree in Human Resources, Accounting, Finance, or related field (or equivalent experience) 
2. 5+ years of hands-on payroll or related experience, including direct responsibility for running payroll, preferred 
3. Experience with multi-state payroll and benefits administration 
4. Strong knowledge of payroll tax laws, wage/hour compliance, and benefits regulations 
5. Proficiency with HRIS/payroll systems, specifically ADP Workforce Now (e.g., Paycom, Paychex, PayCor, Ceridian) 

Preferred

1. CPP (Certified Payroll Professional) or SHRM/PHR certification 
2. Experience supporting healthcare, pharmaceutical, or regulated industries 
3. Experience partnering closely with Finance and external auditors
