Senior Staff Accountant Job Description
Reports to: Sr. Director of Finance
Location: Irvine
Length: 90 Days
Hours: 40 hours per week
FLSA Status: Non-Exempt
Position Summary
The Senior Staff Accountant is responsible for billing grant reimbursements, maintaining prepaids and fixed asset process, recording revenue, supporting accounts payable when needed, and recording various journals entries such as payroll and other month end entries to support the organization's finance and accounting operations. This position plays a key role in performing daily, weekly and monthly tasks in order to have timely accurate financial records.
The Senior Staff Accountant must be highly accurate, know how to self-check their work, and able to manage multiple priorities while maintaining accuracy and meeting deadlines. This position requires accounting knowledge and strong proficiency in Microsoft Excel, and preferred working knowledge in the Netsuite general ledger environment.
This role reports to the Senior Director of Finance. We are a small Finance and Accounting team and you need to have the ability to wear many hats and be nimble to pivot your workload.
Essential Duties and Responsibilities
- Prepare and submit monthly grant reimbursement invoices in accordance with contract terms, funding requirements, and reporting deadlines.
- Timely record banking transactions on a weekly basis such that the cash position of the company is readily available.
- Monitor accounts receivable balances.
- Prepare, review, and post journal entries with appropriate supporting documentation.
- Perform monthly balance sheet reconciliations and investigate discrepancies.
- Participate actively in the monthly financial close process.
- Maintain prepaid and fixed asset records and ensure amortization/ depreciation is recorded
- Record grants, contributions, contract revenue, and other revenue transactions in the accounting system.
- Assist in preparing schedules and supporting documentation for various financial reports during the year for management and external stakeholders.
- Serve as backup to Accounts Payable.
- Maintain and update Standard Operating Procedures (SOPs) related to assigned responsibilities.
- Perform other duties as assigned.
Knowledge, Skills, and Abilities
- Working Netsuite experience highly preferred.
- Strong understanding of Generally Accepted Accounting Principles (GAAP).
- Accurate and detail oriented.
- Advanced proficiency in Microsoft Excel preferred, including Pivot Tables, VLOOKUP/XLOOKUP functions, formulas, and data analysis tools.
- Understands sense of urgency and has the ability to prioritize workload.
Education and Experience
- Bachelor's degree in Accounting, Finance, Business Administration, or related field required.
- Five or more years of progressively responsible accounting experience.
- Experience in nonprofit accounting, grant accounting, or government contract billing preferred.
- Experience preparing service contract invoices, grant reimbursement requests, and account reconciliations preferred.
- No supervisory experience required.
