Position Summary The Payroll Specialist is responsible for processing accurate and timely payroll while ensuring compliance with all applicable laws, regulations, and company policies. This role requires strong attention to detail, knowledge of payroll systems, and the ability to manage complex payroll scenarios. In a construction environment, the Payroll Specialist may also handle union payroll, job costing, and certified payroll reporting. The position works closely with HR, accounting, and operations to ensure payroll accuracy and efficiency.

Key Responsibilities:

Review and verify timekeeping records, including job site timecards and labor allocations. Calculate wages, overtime, bonuses, and deductions in accordance with company policies and labor laws. Assist with weekly, bi-weekly, and/or off-cycle payroll processing in an accurate and timely manner. Manage union and non-union payroll, including benefits, fringes, and union dues where applicable. Ensure compliance with federal, state, and local payroll regulations. Prepare and submit payroll tax filings and ensure timely payments. Assist with certified payroll reporting (e.g., Davis-Bacon) when required. Maintain accurate employee payroll records and system data. Reconcile payroll accounts and resolve discrepancies. Generate payroll reports for management, accounting, and audits. Support audits by providing payroll documentation. Respond to employee payroll inquiries and resolve issues professionally. Collaborate with HR and Accounting on employee data changes, benefits, and reporting. Assist and serve as backup for other payroll or accounting functions as needed.

Required Skills & Competencies

Solid understanding of payroll processes, tax regulations, and compliance requirements. Experience with payroll systems (e.g., ADP, Dayforce, Paychex, UKG, or construction systems like Viewpoint or Spectrum). Proficiency in Microsoft Excel (formulas, reconciliation, and data analysis). Strong attention to detail and accuracy. Problem-solving skills and ability to resolve payroll discrepancies. Strong organizational and time management skills. Ability to manage multiple deadlines in a fast-paced environment. Strong communication skills with both field and office staff. Systems-oriented with the ability to learn new software quickly.

Required & Preferred Qualifications

Associate’s or Bachelor’s degree in Accounting, Finance, or a related field preferred. 2–5 years of payroll experience (construction or multi-state payroll experience preferred). Familiarity with union payroll and certified payroll reporting is a plus. Certified Payroll Professional (CPP) designation preferred but not required.

Typical working hours for this role are 7am – 4pm. No sponsorship is available for this position. Salary Range: $55,000 -$75,000 (depending on experience).
