Job Description:
The Payroll Manager is responsible for accurate, timely payroll and day-to-day payroll-related fiscal operations for Ride Connection, Inc. This role partners with the Controller to process payroll, maintain accounting records, support compliance and reporting, and protect confidential employee and financial information.

Payroll Administration
- Manage, process, and coordinate payroll activities accurately and on schedule.
- Ensure that all employees have submitted their electronic timesheets completely and accurately by the given deadline.
- Maintain payroll records and handle confidential employee information appropriately.
- Research and resolve payroll questions, discrepancies, and routine reporting needs.
- Prepare and file a variety of state forms and returns
- Download, review, and evaluate all ADP reporting and filings for completeness and accuracy.
- Reconcile employee benefit withholding and employer expense recognition with benefit invoices.
- Manage payroll-related compliance with internal policies, funding requirements, and applicable laws.
Accounting and Fiscal Support
- Enter payroll-related accounts payable and perform payroll-related general ledger reconciliations.
- Maintain accurate fiscal documentation, source records, reports, and schedules.
- Assist the Controller with financial reports, budget tracking, cost allocations, audit preparation, and grant or contract billing support.
- Help maintain fiscal department procedures and support continuous process improvement.
Compliance, Reporting, and Audit Support
- Prepare, collect, and verify data for reports by established deadlines.
- Support annual audit, tax filing, and compliance activities, including documentation requests and follow-up.
- Ensure accounting and payroll processing work follows established procedures, grant requirements, and organizational policies.
Partner and Organizational Support
- Provide responsive customer service to employees, partners, vendors, and internal teams.
- Support contract, grant, and partner reporting needs as assigned.
- Attend meetings and provide fiscal or payroll information as requested by the Controller.
- Collaborate across departments and perform other duties as assigned.
What You Bring – Qualifications
Required
- High school diploma or equivalent required; associate degree or coursework in accounting, payroll, finance, or business preferred.
- At least five years of progressive payroll experience, with at least 2 years of full payroll cycle responsibility.
- Working knowledge of payroll practices, Federal and Oregon wage and hour laws, payroll documentation requirements, and confidentiality standards.
- Experience entering and maintaining accurate payroll records in a computerized system.
- Excellent analytical and critical thinking skills
- Strong attention to detail, accuracy, organization, and follow-through.
- Proficiency with Microsoft Office, especially Outlook and Excel, and comfort with learning payroll and accounting systems.
- Ability to manage deadlines, prioritize work, and handle sensitive information with discretion.
- Clear, professional, and diplomatic communication skills, conflict resolution skills, and a customer-service mindset.
- Ability to work independently and collaboratively with a diverse team.
Preferred
- Experience with ADP Workforce Now, ADP Industry Solutions or IDI, Microsoft Dynamics 365, Business Central and/or Sylogist Mission.
- Experience with nonprofit, grant, and/or fund accounting.
- Experience working in a mission-driven, community-serving organization.
