The Parish Bookkeeper supports and promotes the Pastor’s and Operations Director initiatives and decisions regarding the mission and operation of the Parish. Assist Operations Director and Pastor with stewardship of the financial resources of the Parish in accordance with Archdiocesan policies and guidelines. Manages existing database and builds relations with prospects.

Responsibilities

• Under direct supervision of Operation Director handles all bookkeeping functions including but not limited to:

• Processes accounts payable invoices, receipts, reimbursement requests, etc. and present them to Operations Director for approval and coding
• Posts all approved and coded transactions in Parish QB
• Ensures that checks are printed/paid from proper parish bank accounts and ensures that all invoices and staff reimbursements are paid accurately and in a timely  manner
• Posts payroll journal entries
• Prepares monthly financial reports (as requested)
• Ensures proper internal controls are in place and followed
• Utilizes Archdiocesan best practices

• Assists with preparing materials for Finance Council meetings.
• Helps with orders to replenish office supplies.
• Assist Operations Director and Pastor with communication to employees regarding any organizational changes, schedules, HR matters and payroll utilizing Archdiocesan policies and procedures.
• Managing Parking access and parking reimbursements from employees. Representing parish as first contact with Standard Parking communication.
• Helps managing reports of office equipment usage and other accounts (copy machine, printers, mailing, etc).
• Assisting with communication with vendors, customer service, parishioners etc.
• Makes entries to Parish database regarding donations (envelopes, mail, online and others) in close cooperation with other Parish Database Users/Administrators.
• Assists with fund raising events, pledge drives, and Parish offertory collections.
• Maintains files in an organized and timely fashion. Purges files as indicated by Archives and Record’s guidelines.
• Perform other responsibilities as assigned.

Requirements

• Minimum of Associate degree in Business or related discipline, e.g. Accounting, Finance, preferred.
• Preferred of 2 years of experience in Parish or business, or the equivalent combination of relevant education and related work experience.
• Demonstrate understanding, respect and support of the Catholic Church teaching, mission and values.
• Basic knowledge of accounting practices and regulations, and federal, state and city laws.
• Strong demonstrated knowledge in QuickBooks and Microsoft Office.
• Excellent organizational and time management competencies.
• Strong verbal and written communications, organizational, multi-tasking and interpersonal skills.
• Able to identify issues and propose recommendations/solutions.
• Can be entrusted with highly confidential information.

 This position has an hourly range of $21.00 - $24.00.  An employee’s pay within the hourly range will be based on many factors including but not limited to:  relevant education, qualifications, experience, skills, geographic location, and organizational needs.
