    JOB DESCRIPTION

    JOB TITLE: Secretary/Bookkeeper

    LOCATION: Buckingham High School

    REPORTS TO: Principal

    FLSA STATUS: Non-Exempt

    SUMMARY

    Performs a variety of general office clerical duties and processes and transmits information to the staff and other organizations as directed.

    ESSENTIAL DUTIES AND TYPICAL TASKS

    The minimum performance expectations include, but are not limited to, the following:

    • Serve as secretary; provide information; prepare correspondences and related matters; prepare and maintain files and records; assists teachers and parents
    • Monitor and assure all paperwork processes are completed accurately
    • Oversee, and assure compliance of assessment data
    • Maintains appointment calendar, schedules appointments, conferences, and meetings
    • Checks and reviews a variety of data for accuracy, completeness, and conformance to established standards and procedures
    • Maintains records and generates appropriate reports
    • Requisitions supplies and materials for the guidance department
    • Operates standard office equipment to include:  word-processing and data processing equipment, copiers, laminators, etc.
    • Supplies routine information to staff members, building administrator(s), and others
    • Collect and compile information from schools and departments and assists in the preparation of items for disbursement
    • Prepare, collect, and file purchase order forms, bid prices and invoices; organize all for the director's signature
    • Takes all necessary and reasonable precautions to protect students, equipment, materials, and facilities
    • Complies with and supports school and division regulations and policies
    • Models non-discriminatory practices in all activities
    • Performs related duties as assigned by the administration in accordance with the school/division policies and practices

    KNOWLEDGE, SKILLS AND ABILITIES

    General knowledge of standard office practices, procedures, equipment and secretarial techniques; thorough knowledge of business English, spelling and arithmetic; ability to word process accurately and at a reasonable rate of speed; ability to make arithmetical calculations; ability to meet the public effectively; ability to operate a variety of office equipment; skill in the use of data and word processing equipment; ability to establish and maintain effective working relationships with others; ability to follow oral and written instructions.

    EDUCATION AND/OR EXPERIENCE

    Previous secretarial experience in a school setting is preferred.  Candidate must possess any combination of education and experience equivalent to graduation from high school including or supplemented by courses in general office practices and procedures and clerical and secretarial experience.

    SPECIAL REQUIREMENTS

    Must be proficient in Excel.  Must possess word processing and essential office productivity software skills. Must be able to create and update webpages. Demonstrated qualities and personal characteristics necessary for working effectively with students, staff, administrators, and parents are required. Must possess good moral character.

    PHYSICAL DEMANDS/REQUIREMENTS

    Stooping, kneeling, crouching, reaching, pulling, routine lifting up to approximately 20 pounds, grasping, and repetitive motions are required. Other limited physical activities are required. Vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, determining the accuracy and thoroughness of work, and observing general surroundings and activities; the worker is subject to inside and outside environmental conditions, noise and hazards. Regular contact with staff members, school administrators, students and members of the community is required.     TERMS OF EMPLOYMENT

    12 month contract with benefits

    EVALUATION

    The principal will evaluate performance on the ability and effectiveness in carrying out the above responsibilities.
