Client Accounting Coordinator

The Client Accounting Coordinator is responsible for managing an assigned portfolio of clients and serving as the primary accounting contact for client loss fund activity, financial reporting, banking coordination, and program-related accounting support. This role oversees accounting activities from initial program setup through ongoing transaction management, reconciliation support, funding analysis, client reporting, and audit documentation. The coordinator partners closely with clients, claims management, banking partners, and internal teams to ensure loss fund activity is accurate, timely, well-documented, and aligned with client expectations, internal controls, and insurance claims processing requirements.
Key Responsibilities
- Own and manage an assigned portfolio of client programs, serving as the primary day-to-day accounting contact for loss fund activity, financial questions, reporting needs, and issue resolution.
- Manage program accounting from cradle to grave, including coordinating new bank account openings, supporting program setup in the CRM, maintaining accurate client and program data, and ensuring required documentation is complete.
- Prepare and distribute recurring weekly, monthly, and ad hoc financial reporting for clients, including loss fund balances, claims payment activity, funding needs, outstanding items, and other program financial metrics.
- Monitor loss fund balances and claim payment activity to determine when additional funds should be requested or when excess funds may be eligible for return to the client.
- Prepare and submit client funding requests based on claim volume, payment activity, projected cash needs, and established client or program requirements.
- Manage daily accounting transactions in the CRM, including void checks, payment corrections, escheatment-related activity, transaction updates, and related documentation.
- Participate actively in the bank reconciliation process by researching reconciling items, documenting open items, and communicating carryover reconciling items or unresolved variances to clients and internal stakeholders.
- Support client audits by gathering, organizing, and providing documentation related to loss fund activity, claim payments, financial reporting, funding requests, reconciliations, and other requested accounting records.
- Maintain regular communication with claims management to confirm payments are processed timely, identify potential payment delays or issues, and help prevent penalties, complaints, or escalations to regulatory bodies such as boards of insurance.
- Research and resolve accounting discrepancies, payment questions, funding concerns, outstanding items, and client inquiries in a timely and professional manner.
- Maintain organized records, trackers, schedules, and supporting documentation in Excel and other required systems to support reporting accuracy, audit readiness, and continuity of client service.
- Assist with quality reviews of accounting work, identify process improvement opportunities, and contribute to consistent practices across client programs.
- Perform other duties as assigned to support client accounting operations, loss fund administration, and organizational objectives.
Skills, knowledge & expertise
- Strong verbal and written communication skills with the ability to interact professionally with stakeholders.
- Intermediate to advanced Microsoft Excel skills, including the ability to manage large data sets, maintain trackers, prepare reconciliations, analyze financial activity, and support client reporting.
- Strong organizational skills and attention to detail, with the ability to manage multiple client programs, deadlines, funding requests, reconciliations, and open items simultaneously.
- Ability to research discrepancies, identify activity trends, escalate issues appropriately, and follow items through resolution.
- Working knowledge of accounting principles, bank reconciliation practices, accounts payable processes, client reporting, and financial documentation requirements.
- Ability to maintain confidentiality and handle sensitive client, banking, claims, and financial information with discretion.
- Experience with CRM systems, accounting systems, banking platforms, and Microsoft Office applications preferred.
- Knowledge of banking practices, loss fund administration, fiduciary account activity, or insurance claims processing is strongly preferred
- 3–5 years of accounting experience required.
- Experience supporting client reporting, funding requests, reconciliations, payment processing, or audit documentation preferred.
- Prior experience in insurance claims, third-party administration, loss fund accounting, fiduciary accounting, or related financial services environment preferred.
- Associate or bachelor’s degree in accounting, Finance, Business Administration, or a related field preferred; equivalent work experience may be considered.
