Position Summary
The Accounts Receivable Specialist is responsible for managing and processing incoming payments, maintaining accurate financial records, and ensuring timely collections. This role is based out of our Gibson Dental lab located in Gainesville, GA. This role requires strong attention to detail, excellent organizational skills, and the ability to communicate effectively with customers and internal teams. The Accounts Receivable Specialist maintains and improves sustained cash flow through diligent, timely and aggressive monitoring of our customer accounts and AR aging components.
Key Responsibilities
- Generate and send invoices to customers in a timely manner.
- Monitor accounts to ensure payments are received on time.
- Follow up on outstanding invoices and conduct collection efforts.
- Reconcile customer accounts and resolve discrepancies.
- Process and record incoming payments (checks, ACH, credit cards, etc.).
- Maintain accurate records of all accounts receivable transactions.
- Collaborate with sales and customer service teams to resolve billing issues.
- Prepare and analyze accounts receivable aging reports.
- Monitor aging reports and follow up on past-due accounts via phone, email, and mail.
- Work closely with clients to resolve payment issues and ensure prompt collections.
- Maintain accurate records of collection efforts and payment arrangements.
- Assist with month-end closing and financial reporting.
- Ensure compliance with company policies and accounting regulations.
- Answer incoming calls
- Inventory and supply ordering as needed
- Other duties may be applicable as business needs may dictate and as assigned by management.
Qualifications & Requirements
- Associate's or Bachelor's degree in Accounting, Finance, Business Management, or a related field.
- 5+ years of experience in accounting, billing, accounts receivable, or related financial operations.
- Dental laboratory experience preferred but not required.
- Proficiency with accounting, bookkeeping, and financial management software.
- Strong understanding of billing, collections, account reconciliation, and financial recordkeeping.
- Exceptional attention to detail, accuracy, and organizational skills.
- Ability to manage multiple priorities, meet deadlines, and perform effectively in a fast-paced environment.
- Excellent verbal and written communication skills, with the ability to resolve issues professionally and diplomatically.
- Strong problem-solving, analytical, and decision-making abilities.
- Ability to read, interpret, and follow policies, procedures, and operational instructions.
- Proficient with standard office equipment and Microsoft Office applications.
- Comfortable working in a collaborative office environment and interacting with customers, vendors, and internal teams.
- Physical & Work Environment Requirements
- Ability to sit for extended periods and frequently use a computer, phone, and office equipment.
- Ability to occasionally stand, walk, reach, and handle documents or office materials.
- Requires close vision and the ability to review detailed information accurately.
