Accounts Receivable Clerk

JOB DESCRIPTION

The Accounting – AR Clerk is a critical individual contributor role reporting directly to the Controller. In this position, you will own the end-to-end Accounts Receivable process to keep customer accounts current, maintain steady cash flow, and ensure clean financial records.

This role requires a proactive, collaborative communicator who enjoys building positive customer relationships while effectively managing collections and reducing AR aging. Working in a supportive team environment, you will play a key role in onboarding new clients, managing credit terms, reconciling accounts, and supporting month-end financial close.

ESSENTIAL JOB FUNCTIONS

• Cash Application & Deposits: Process daily deposits, apply incoming cash payments accurately to invoices, and record all payment transactions. 
• AR Aging & Collections: Manage customer accounts and actively monitor AR aging reports. Execute strategic collection efforts to reduce outstanding receivables (prioritizing high-volume accounts) and improve total cash flow.
• Customer Account Management & Onboarding: Communicate directly with customers to maintain strong relationships, onboard new clients, gather billing details, and set up new accounts in the ERP system. 
• Adjustments & Credit Memos: Process credit memos, refunds, and account adjustments in compliance with company credit policies and approval levels.
• General Ledger & Month-End Support: Reconcile AR accounts, post journal entries to the general ledger, and support the month-end close process and financial audits.
• Reporting & Analytics: Prepare and present regular AR reports for management, including aging summaries, unapplied cash reports, and open credit memo tracking. 
• Process Improvement: Spot operational inefficiencies, suggest workflow improvements, and actively adopt AI and AR automation tools to streamline processes.

REQUIREMENTS

• 2+ years of hands-on Accounts Receivable (AR) experience managing end-to-end processes: cash application, deposits, credit memos, refunds, adjustments, AR reporting, and collections. 
• Experience in a $40M+ revenue company, comfortable handling volume and complex accounts. 
• General Ledger & Journal Entries: Practical experience with journal entries and general ledger reconciliations. 
• Communication & Collections: Comfortable contacting customers directly and professionally conducting collection conversations. 
• ERP & Systems Proficiency: Hands-on experience with ERP software (NetSuite preferred); proficiency with CRM platforms (Salesforce) or e-commerce/retail integrations is a plus. 
• Excel Skills: Intermediate Excel skills, including pivot tables, VLOOKUPs, and data reporting. 
• Mindset & Culture: Collaborative team player with a problem-solving orientation; open to change, process optimization, and automation tools.

NICE TO HAVE

• Industry Background: Experience in apparel, manufacturing, fashion, or e-commerce (Shopify, Amazon). 
• NetSuite experience.

EDUCATION

• Associate degree minimum required (Accounting, Finance, Business Administration, or related field).

COMPENSATION PACKAGE

• Base Salary: $55,000 – $72,000 per year (commensurate with experience).

WORKING CONDITIONS

• Work Model: Full-Time, Hybrid (3 days in-office / 2 days remote). Office located in Baltimore, MD.
• Working Hours: Core working hours aligned to 7:30 AM – 5:00 PM with flexible start and end times (e.g., 8:00 AM start). 
• Travel: 0% travel required. • Equipment: Company-provided computer and necessary setup.
