We're looking for a detail-oriented, proactive Accounts Receivable & Collections Specialist to join our corporate team. This is an opportunity for someone who enjoys solving problems, improving processes, and taking ownership of results across a growing portfolio of senior living communities.
In this role, you'll do more than track balances and process payments. You'll help strengthen our financial operations, support community leaders, and ensure our billing and collections processes are accurate, consistent, and effective.
What You'll Do
As our Accounts Receivable & Collections Specialist, you'll oversee critical billing and collection activities across multiple Independent Living, Assisted Living, and Memory Care communities.
Your responsibilities will include:
-
Drive Collections Performance: Monitor accounts receivable aging, identify delinquent accounts, coordinate collection action plans, and ensure timely follow-through.
-
Lead AR Reviews: Coordinate weekly accounts receivable reviews, track action items, and partner with regional and community leaders to resolve outstanding balances.
-
Manage Resident Billing: Oversee monthly billing accuracy in RealPage OneSite, validate rent rolls, and review resident account balances and payment activity.
-
Resolve Account Issues: Research and correct billing discrepancies, unapplied payments, credit balances, and other account variances.
-
Strengthen Financial Controls: Review ACH and preauthorized payment information, support month-end close activities, and maintain accurate financial documentation.
-
Turn Data Into Action: Prepare aging reports and performance scorecards, identify trends, and recommend opportunities to improve collections and billing processes.
-
Support Our Communities: Provide training, guidance, and responsive support to Executive Directors, business office teams, and other operational leaders.
What We're Looking For
We're seeking someone who combines strong technical skills with the initiative and communication abilities needed to get things done.
Ideal qualifications include:
-
2–4 years of experience in accounts receivable, collections, resident billing, revenue cycle management, or related financial operations.
-
Experience in senior living, healthcare, multifamily housing, or multi-location operations strongly preferred.
-
Experience with RealPage OneSite or a comparable billing or property management platform strongly preferred.
-
Strong Microsoft Excel skills, including pivot tables, lookups, and reconciliations.
-
Excellent organization, attention to detail, and problem-solving abilities.
-
Confidence communicating with multiple stakeholders, managing deadlines, and following through on commitments.
-
An associate's or bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred; relevant experience will also be considered.
What Will Make You Successful
At Civitas, we value people who see challenges as opportunities to make things better. You'll thrive in this role if you:
-
Take ownership of your work and follow through until issues are resolved.
-
Enjoy working with data while understanding the people and operations behind the numbers.
-
Can balance excellent customer service with consistent application of financial policies.
-
Communicate professionally and confidently, even when navigating difficult conversations.
-
Look for ways to make processes more efficient, accurate, and scalable.
-
Work well independently while building strong relationships with colleagues across the organization.
