- Invoice Processing & Data Entry: Group, verify, and accurately enter a high volume of invoices into the Deltek CostPoint system; match invoices with purchase orders and receipts.
- Communication & Coordination: Address vendor inquiries regarding payment status, and procedures; resolve discrepancies and reconcile supplier statements.
- Administrative Support: Perform general clerical duties (filing, photocopying, faxing, mailing); create and maintain office documents and files; answer mail and phone inquiries.
- Record-Keeping & Filing: Organize and maintain physical filing systems for all AP documents.
- Compliance & Safety: Maintain a safe and secure work environment; ensure reliable attendance and the ability to work independently with attention to detail.
- Clerical Knowledge: Demonstrate knowledge of clerical procedures and proficiency in high-volume data entry.
- Must have a HS Diploma or equivalent and at least 3 years of experience in Accounts Payable.
- Must be proficient in the use of Personal Computers (PCs) and word processing and data entry software, with focus on Excel.
- Must have outstanding organizational skills (time management, follow up and multi-tasking).
- Must have strong written and verbal communication skills.
- Must have general knowledge of accounting principles.
- Must have experience with purchase orders.
- Experience working with Deltek Costpoint is preferred but not required.
- Minimal Travel; 10% or less.
- Remaining in a stationary position, often standing, or sitting for prolonged periods.
- Able to sit and work on a computer for long periods of time.
- Moving about to accomplish tasks or moving from one worksite to another.
- Communicating with others to exchange information.
- Light work that includes moving objects up to 20 pounds.
