Location & Work Environment

• Full-time, office based in Calgary, with opportunity to work remotely when needed.
• Monday to Friday, 8 am – 5 pm.

This is more than a senior accounting role - it's an opportunity to take ownership of our project billing function, influence and lead process improvements, support operational leaders, and help drive profitable project delivery across the entire company.

Reporting to the Controller, you'll lead a team responsible for project billing, cost tracking, invoicing, collections, and project financial reporting while partnering closely with Operations, Project Managers, and Business Development.

• Lead and support the Project Billing Administrators by overseeing project billing, cost tracking, accounts payable processes, and staff workload allocation. Ensure projects are billed accurately according to contract terms, provide training as needed and maintain the integrity of invoice processing and financial data flow between systems.
• Support business development and project startup activities by assisting with cost estimates, prequalifications, and contract setup. Oversee the transition of awarded proposals into active projects by assigning work to Project Billing Administrators, ensuring commercial terms are accurately established in project management and client billing systems, and communicating requirements to Project Managers and project teams.
• Oversee the project billing cycle by ensuring all project costs are accurately allocated, invoices are reviewed and approved, and client billing deadlines are met. Maintain invoice tracking, supervise final billings and collections, ensure project closeouts are completed, and uphold invoice accuracy and consistency. Provide leadership, guidance, and mentorship to Project Billing Administrators while supporting the resolution of client requests, invoice revisions, and complex billing issues.
• Support financial oversight and project profitability analysis by developing billing KPIs, maintaining project reporting tools, and assisting with cost and budget reviews. Ensure accurate invoice entry and allocation within Sage ERP, prepare project-level financial reports, support month-end revenue reporting and variance analysis, and collaborate with auditors by providing project revenue, cost, and collection documentation.
• Oversee the maintenance and optimization of key billing and project management systems, including AIMSIO, Textura, Fieldglass, Beanworks, Maximo, and Open Invoice. Ensure system updates are communicated effectively, processes are well documented, reporting accuracy is maintained, and continuous improvements are implemented to enhance efficiency and support business operations.

What We Look For

• Accounting, Finance, or related education and relevant project accounting experience.
• Strong leadership, communication, and organizational skills.
• Experience with ERP systems and project-based accounting.
• A proactive, solutions-focused mindset and attention to detail.
• Experience in engineering, consulting, professional services, or construction is an asset.
• Experience with AIMSIO, Sage ERP, Beanworks, Textura, Fieldglass, Maximo, or Open Invoice is considered an asset.
