Summary
The Sales & Use Tax Analyst supports multi-state indirect tax compliance, audit management, and tax technology processes across Freeman's operating entities. Working within SAP, Vertex O, and related financial systems, this role ensures accurate tax determination, minimizes tax exposure, and supports operational excellence through data analysis, process improvement, and cross-functional partnership.
This position will support our Tax team. It is eligible to work a hybrid schedule, generally requiring work in-office and/or show-site 2-3 days per week. This position is based out of our North Dallas office in Dallas, TX.
Essential Duties & Responsibilities
- Taxability & research. Analyze sales and purchase transactions in SAP and Vertex O to determine proper taxability and conduct tax research.
- Audit & M&A support. Support audits, appeals, and newly acquired-entity integration by gathering documentation, responding to information requests, and preparing workpapers, position memos, and taxability mapping.
- Reconciliation & reporting. Reconcile tax accounts and resolve variances between source systems (SAP, NetSuite) and tax engines (Vertex, Avalara); prepare monthly, quarterly, and annual reporting deliverables.
- Analytics & process improvement. Use Excel, Alteryx, and AI tools to support audits, filings, and process improvement; identify sales/use tax savings opportunities and reduce exposure and compliance risk.
- Vertex & exemptions. Assist the Senior Tax Analyst with Vertex taxability, parts mapping, and exemption-certificate configuration; serve as primary contact to the third-party certificate provider for escalations and complex certificates.
- Payments. Perform monthly bank reconciliation of tax payments against the filing calendar and coordinate timely delivery of the payment upload file to Accounts Payable to avoid penalties.
- Business licenses. Track and manage the business license renewal calendar across all entities and jurisdictions, submitting renewals before expiration (~8–12 hours/month, heavier during concentrated renewal cycles).
- Procurement & budget. Set up purchase orders in Coupa and assist with vendor budget analysis and reconciliation.
- Correspondence. Review incoming mail and monitor the corporate tax and Sales Tax Review inboxes daily, escalating time-sensitive notices without delay.
- Customer service & training. Respond promptly to business-unit and customer inquiries on taxability and exemption applicability; help develop and deliver tax training for AR, AP, Sales, and Procurement.
- Analytics & process improvement. Use Excel, Alteryx, and AI-enabled tools to support audits, filings, and process improvement; identify sales/use tax savings opportunities and reduce exposure and compliance risk.
Education & Experience
- Associate’s degree in Accounting or Finance with 1–3 years of multi-state Sales & Use Tax compliance experience is preferred. High School Diploma or Equivalent with relevant work experience is required.
- Hands-on experience with Vertex O (or comparable engine such as Avalara) and ERP systems (SAP, NetSuite) for tax determination, reporting, and reconciliation.
- Demonstrated experience preparing/reconciling multi-state returns, coordinating with exemption-certificate providers, and supporting audit defense.
- Strong analytical, organizational, communication, and problem-solving skills. Proficient in Microsoft Office (especially Excel). Canadian GST/HST/PST/QST knowledge a plus.
- Experience working with cross-functional teams including Accounts Payable, Accounts Receivable, and Finance.
