About the Role:
The Receptionist/Accounting Assistant plays a vital dual role in ensuring smooth front office operations while supporting the accounting department with essential financial tasks. This position serves as the first point of contact for visitors and callers, providing professional and courteous service that reflects the company’s values. In addition to managing reception duties, the role involves assisting with some accounting task. The successful candidate will contribute to the overall efficiency of the office by coordinating communication between departments and supporting administrative and accounting functions. This role requires a detail-oriented individual who can balance multitasking with a high level of accuracy and professionalism. TRAINING PROVIDED
Minimum Qualifications:
- High school diploma or equivalent.
- Knowledge of Microsoft Office applications (Outlook, Word, & Excel).
- The ideal candidate must accurately take notes and direct callers to the correct team member.
- Ability to quickly learn new accounting software, specifically Sage Intacct.
- Strong organizational and multitasking abilities.
Preferred Qualifications:
- Previous customer service experience (preferred but not required).
- Basic knowledge of accounting principles (preferred but not required).
- Excellent verbal and written communication skills.
- Ability to handle confidential information with discretion.
- Prior experience working in a fast-paced environment.
Responsibilities:
- Greet and welcome visitors, clients, and vendors in a professional and friendly manner.
- Answer, screen, and forward incoming phone calls and emails promptly and courteously.
- Perform data entry and maintain accurate financial records, including invoices, and payments.
- Ensure the reception area is tidy and presentable at all times.
- Collaborate with other departments to facilitate smooth communication and workflow.
- Coordinate daily assignments with AR and AP staff.
Skills:
The required skills enable the candidate to efficiently manage front desk operations, ensuring all visitors and communications are handled professionally and promptly. Strong organizational skills help in managing multiple tasks and coordinating between departments. Effective communication skills are essential for interacting with clients, vendors, and colleagues, fostering a positive and collaborative work environment.

Full-Time Presence: Monday-Friday 7:00 AM to 4:00 PM
