Procurement Specialist
The Procurement Specialist will support and assist the Procurement Team with on-going commercial and administrative activities supporting the business needs. Reporting to the EU Region Director of Procurement to manage the procurement documentation and to ensure we are always operationally ready and able to meet the business needs and compliance requirements.

Department Description
As Procurement Specialist, you’ll be joining an organization where people of all backgrounds and experiences are respected, and where we work together focused on changing lives. In this role you will report to the EU Region Director of Procurement.
Your Responsibilities;
- Administration duties as and when required to ensure a robust and compliant archival of all associated documentation.
- Work to ensure that the procurement department is always audit ready.
- All vendor qualification documents are completed, signed, filed and recorded on tracker.
- All supply agreements and contracts are signed, filed and recorded on tracker.
- Approved vendor list is updated to ensure no duplications and timely deactivation of vendors.
- Expedite, file, and record all supply maps and GMP documents for direct material suppliers.
- Assist with the expediting activities of large- and small-scale equipment.
- Assist with tracking of materials received and notification to end users and requisitioners.
- Prepare and circulate monthly reports on list of approved vendors, list of active K2 users, K2 and SAP order reports, spend reports by category.
- Liaise with procurement lead and master data management team for the timely setup or deactivation of approved vendors in K2/SAP.
- Data Entry (SAP, Sourcedogg).
- Administration of the procurement platforms K2 and SAP and setup of user access.
- Liaising with vendors on a day-to-day basis to resolve issues which may arise.
- Maintenance of Purchasing and Item Master Data Base.
- Assist with the qualification of new sources of supply.
- As required, assist in development of governing procedures and forms for the Procurement department.
- Negotiate with vendors where required and support the company budget and help deliver on department savings targets.
- Administration duties as and when required to ensure a robust archival of all associated documentation.
- Will act as a role model for the administration function and the wider organisation in adherence to the WuXi corporate core values and PROUD culture.
- Perform all duties in accordance with GMP requirements, SOPs and controlled documents.
Your Profile: The ideal candidate for this position will have the following:
Education:
- Third level education in secretarial, business administration, procurement or equivalent.
Knowledge/Experience:
- Previous administration experience essential
- Some procurement experience preferred but not essential.
- Experience working in a startup or project environment is desirable but not essential.
- Experience in Microsoft applications suite, strong excel skills beneficial.
- Experience in SAP or a similar platform preferred

- Basic knowledge of the law around sale of goods and legal requirements to execute agreements and mitigate risk for the company.
- Strong numeracy skills and accurate financial analysis and reporting.
- Understand materials management, supply and distribution chains in the market.
