Procurement Specialist

Job Summary

The Procurement Specialist is responsible for sourcing and purchasing construction materials, equipment, and services for mechanical projects in a timely and cost-effective manner. This position coordinates requisitions, quotations, purchase orders, supplier follow-up, deliveries, and documentation to support project schedules and operational needs. The Procurement Specialist works closely with Project Management, Operations, and suppliers to ensure materials and equipment are available when needed, at the best value and required quality.

Job Responsibilities

• Process requisitions, obtain quotations, evaluate bids, and issue purchase orders.
• Coordinate the approval process and monitor orders from purchase through delivery.
• Source and evaluate suppliers based on price, quality, availability, and delivery performance.
• Negotiate pricing, terms, and service agreements with suppliers and subcontractors.
• Monitor costs, delivery schedules, and scope to support project budgets and timelines.
• Develop and maintain strong relationships with vendors, wholesalers, and manufacturers.
• Follow up on material availability, production, shipping, invoicing, credits, and quality issues.
• Identify alternative products, suppliers, and purchasing methods to reduce costs and improve efficiency.
• Maintain accurate purchasing records, pricing information, supplier qualifications, and order status.
• Support procurement planning for mechanical materials, equipment, tools, and services.
• Research new products, suppliers, and industry trends to identify opportunities for improvement.
• Prepare procurement reports and provide management with updates on purchasing activities.
• Work closely with Project Managers, Superintendents, and other departments to meet project needs.

Requirements

• Bachelor’s Degree in Business Administration, Accounting, Supply Chain, Procurement, or a related field preferred.
• Minimum 5 years of construction procurement or purchasing experience preferred.
• Construction mechanical industry experience is strongly preferred.
• Fully bilingual in English and Spanish, both written and verbal.
• Experience with purchasing contracts, supplier negotiations, and procurement processes.
• Strong knowledge of Microsoft Office, particularly Excel.
• Strong analytical, mathematical, organizational, and negotiation skills.
• Excellent communication and interpersonal skills.
• Strong attention to detail and ability to manage multiple priorities.
• Self-motivated and able to work independently with minimal supervision.
• Ability to work under pressure in a fast-paced and changing environment.
• Strong problem-solving and decision-making skills.
• High level of integrity, professionalism, and confidentiality.
