Purpose of the job / Position description

  • Ensure that material resources are consistent with production schedules. The Procurement Specialist’s responsibilities are to order MRO and Packaging against material specifications, creating and maintaining delivery schedules, coordinating with plant teams and managing external supplier’s relations.
  • Providing site consolidated forecast to the packaging category managers.
  • Execute the Group procurement policies.
  • Regional responsibility of managing transactional procurement tasks and activities in the Procure to Pay(P2P) process area for indirect.
  • Performing transactional procurement activities
  • Ensuring activities are performed according to agreed controls and processes.
  • Recognize unusual events or consistent problems and work with team members to resolve issues

Main responsibilities

MASTER DATA

  • Gather information and enter the request for vendor creation in the tool and follow up creation
  • Update material information for Purchasing and general information.

P2P ADMIN

  • Process and transform Maintenance Purchase Requisitions (PRs) into Purchase orders (POs)
  • Process and transform other indirect goods and services Purchase Requisitions (PRs) into Pos into Pos when it applies. Creates PO reflecting business needs and negotiations.
  • Acts as 1st line of contact for P2P related inquiries, issues and transactions for indirect categories. Managing purchasing document changes and cancellations, handling returns
  • Act as 1st line of contact for invoice 3-way match error handling for indirect categories.
  • Archiving the signed contracts in ARIBA S2C.

PROCESSES SUPPORT

  • Suggest methods to update, simplify, and enhance processes, procedures, and tools
  • Engage and motivate sites to operate according to procurement policies, processes, and procedures.

PROCUREMENT STRATEGY SUPPORT

  • Identify spend not driven through preferred suppliers

MATERIAL PLANNING

  • Calculate each packaging material volume requirement for annual budget based on the sales team input and communicate this volume to Global Direct Category Manager
  • Manage the supply of materials according to the manufacturing schedule and stock levels (MRP); Monitor packaging materials supply schedule and manage the packaging materials flow; Managing inventory issues, schedule changes, and cancellations.
  • Collaborate with logistics to manage the supply of materials according to the sites logistics constraints

Qualifications

(minimum level of knowledge and skills to fulfill one’s responsibilities)

Work experience needed

Minimum 1 year of hands-on experience executing Procure-to-Pay (P2P) transactions and processes within SAP, with a solid understanding of purchasing, requisition management, purchase order processing, goods receipt, and invoice resolution in compliance with established policies and procedures.
