Job Summary
The Payroll Specialist owns the full end-to-end payroll process for a multi-state, hourly and salaried workforce. This role is accountable for payroll accuracy, compliance, and timely execution, partnering closely with Finance, HR, and field operations. The ideal candidate has hands-on experience managing complex payrolls, retail timekeeping systems, and translating time punch data into payroll systems such as Workday in a fast-paced, mission-driven environment.Job Details
Key Responsibilities:
Payroll Processing (End-to-End Ownership)
- Own the full bi-weekly payroll process from time data collection through final payroll submission and reconciliation.
- Manage payroll processing for hourly and salaried employees across multiple states and jurisdictions.
- Review, audit, and validate time punches, pay codes, earnings, deductions, and taxes for accuracy prior to payroll submission.
- Convert time punch data from external systems into Workday when manual uploads or adjustments are required.
- Process off-cycle payrolls, retro payments, bonuses, commissions, and corrections as needed.
- Serve as the primary point of contact with the payroll vendor (OSV) for payroll processing, issue resolution, and system coordination.
- Investigate, resolve, and communicate payroll discrepancies and employee inquiries in a timely and professional manner.
- Ensure accurate payroll funding, payroll registers, and post-payroll reconciliations in partnership with Finance.
Systems & Timekeeping
- Maintain and administer payroll data within Workday, ensuring data integrity across HRIS, payroll, and timekeeping systems.
- Support and troubleshoot timekeeping workflows, including manual time punch collection and validation.
- Leverage NCR Back Office for time and attendance data; manually extract and format punch data when system integrations are unavailable.
- Partner with field leaders and store teams to resolve timecard issues and improve timekeeping compliance.
- Participate in payroll system updates, testing, and process improvements.
Compliance & Reporting
- Ensure payroll operations comply with federal, state, and local wage and hour laws, tax regulations, and reporting requirements.
- Manage payroll-related audits and support year-end activities including W-2 processing and tax reconciliations.
- Maintain accurate payroll documentation, internal controls, and audit trails.
- Support SOX-related documentation and provide audit support as needed.
- Prepare payroll reports, labor analysis, and ad hoc reporting for Finance and leadership.
Education and Skill Requirements
- Bachelor’s degree in Accounting, Finance, HR, Business Administration, or equivalent experience preferred.
- 3–5 years of hands-on, end-to-end payroll processing experience, preferably in a retail or multi-unit environment.
- Strong experience using Workday Payroll and working directly with a payroll vendor (OSV experience required).
- Experience with NCR Back Office strongly preferred, including manual extraction and validation of time punch data.
- Proven ability to manually reconcile and convert timekeeping data into Workday when integrations are unavailable.
- Strong working knowledge of federal, state, and local payroll regulations and wage and hour compliance.
- Exceptional attention to detail, organization, and follow-through.
- Strong communication and customer service skills, with the ability to handle sensitive information confidentially.
- Ability to thrive in a fast-paced, mission-driven environment with tight payroll deadlines
Position Type/Expected Hours of Work/Physical Requirements
- While performing the duties of this job, the employee is regularly required to, stand, sit; talk, hear, and use hands and fingers to operate a computer and telephone keyboard reach, stoop kneel to install computer equipment.
- Specific vision abilities required by this job include close vision requirements due to computer work.
- Light to moderate lifting is required.
- Ability to uphold the stress of traveling.
- Regular, predictable attendance is required; including quarter-driven hours as business demands dictate.
- Moderate noise (i.e. business office with computers, phone, and printers, light traffic).
- Ability to work in a confined area.
- Ability to sit at a computer terminal for an extended period of time.
