Under the supervision of the Senior Staff Accountant, the Payroll Administrator is responsible for the accurate input of employee payroll information, timely collection and processing of time sheets with contract processor, and bookkeeping of all human resource related transactions. This position requires knowledge of human resource policies as it relates to the processing of payments to personnel. This includes, but is not exclusive to, ensuring time is authorized by program managers, and rates are consistent with rates established in each employee’s file by the organization’s Human Resource Department.
WORK PERFORMED
- Establish procedures to safeguard organizational assets by maintaining procedural control over time sheet integrity, pay rate accuracy, and payroll file confidentiality.
- Obtain all new and updated personnel information from the Human Resource Department to ensure accurate and timely payroll.
- Maintain relationship with contract processor to ensure accuracy of all human resource information, and provide contract processor with all documentation necessary to have complete, accurate, and timely processing.
- Record payroll summary entries into general ledger, and provide Senior Staff Accountant payroll reports to review for time sheet hour summaries, pay rate accuracy, and program code control.
- Establish and maintain system for distribution of checks, direct deposit vouchers, and W-2’s, and maintain coordinated system of scheduling for employee disputes and claims.
- Maintain Finance Department payroll record management system in accordance with Department of Labor regulations.
- Assist with projects assigned by the Senior Staff Accountant and/or the Chief Financial Officer.
Qualifications
- Bachelor’s degree in accounting or other relevant field plus three years of relevant professional experience; or Associate’s degree in a relevant field plus five years of relevant professional experience; or high school diploma plus seven years of relevant professional experience.
