Key Account Procurement Specialist

Position Overview:
The Accommodations Procurement Specialist plays a key role in sourcing and managing hotel and ground transportation partnerships that support our airline, rail and cruise line clients. This role is responsible for supporting the procurement process, while also actively pursuing new business opportunities, ensuring the industry-standard commission is maintained, and fostering strong relationships with hotel and ground suppliers. Success in this role requires a mix of negotiation skills, analytical thinking, and relationship management in a client-focused, fast-paced environment.

This is a hybrid position, with a minimum of three days per week onsite at our headquarters in Melville, NY, following an initial training period that will be conducted fully in-office.

Key Responsibilities

• Source and secure hotel and ground transportation solutions that meet the needs of our airline and cruise clients in key markets. Collect data and update Salesforce with key information such as; hotel name, key contact information and star ratings utilizing internal databases and internet sources.
• Identify and develop new supplier relationships, expanding our partner base and driving new business opportunities.
• Ensure that all agreements consistently meet or exceed the industry-standard commission.
• Lead contract negotiations throughout the sourcing process with hotel and ground transportation suppliers, including rate structures, concessions, and favorable terms and conditions.
• Maintain and grow supplier partnerships through regular communication, business reviews, and in-person meetings or site visits when necessary.
• Manage and execute RFP/RFI processes through API’s JET platform with accuracy and attention to detail.
• Conduct market research, including analyzing trends and conditions in order to identify peaks and valleys in markets as well as optimal time to source.
• Track and manage supplier data in Salesforce, ensuring visibility into all sourcing activities and communications.
• Create high quality and well-organized destination and sourcing presentations using Microsoft Office and Adobe tools that support client revenue goals within well established deadlines.
• Adapt to changing circumstances, including last-minute sourcing needs due to flight changes or external disruptions.
• Coordinate hotel site inspections domestically and internationally, as required.
• Address and resolve client feedback within the timelines outlined in client Service Level Agreements (SLAs).

Required Skills & Qualifications

• Fluent in English; proficiency in Japanese, French or Spanish is a strong plus.
• Experience in the travel, hospitality, or procurement industries preferred.
• Strong ability to build and maintain supplier and client relationships.
• Excellent negotiation and analytical skills.
• Proficiency in Microsoft Office, especially Excel; familiarity with Adobe, Salesforce and Industry Reporting such as STR Reporting is preferred.
• Strong organizational skills with high attention to detail.
• Effective verbal and written communication skills.
• Ability to manage multiple tasks and prioritize in a fast-paced environment.
• Independent, self-motivated, and results-driven with a proactive work style.
• Comfortable collaborating with suppliers and teams across different cultures and regions.

Travel Requirements

Minimal travel is expected; occasional domestic or international travel for supplier meetings or site inspections may be required.

Position Type & Hours

Full-time, Monday through Friday, during regular business hours. Occasional overtime may be required.
Hybrid: Minimum of 3 days per week in the Melville, NY office following initial in-office training.

Compensation
The good faith compensation rate for this position is $26.00 per hour. Plus, annual discretionary bonus.

The performance of additional responsibilities if you are designated as a Data Protection Champion (DPC), Senior Information Risk Owner (SIRO) or Information Assurance Accounting Officer (IAAO).

Work Environment

This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
