HR Payroll Specialist
Location: Sandestin Golf & Beach Resort – Miramar Beach, Florida
Position Summary
Nestled on 2,400 acres from the Gulf of Mexico to the Choctawhatchee Bay, Sandestin Golf & Beach Resort is seeking a detail-oriented and highly organized HR Payroll Specialist to join our Human Resources team. This position is responsible for the accurate and timely processing of high-volume, multi-department payroll while ensuring compliance with federal, state, and local regulations.
The ideal candidate thrives in a fast-paced hospitality environment and is experienced in managing the complete payroll process from beginning to end. This role works closely with Human Resources, department leaders, Finance, and employees to provide exceptional payroll support while maintaining confidentiality and accuracy.
Essential Job Responsibilities
Full-Cycle Payroll Administration
- Process high-volume bi-weekly payroll from start to finish for a diverse workforce across multiple resort departments.
- Review and audit employee timecards for accuracy, completeness, and compliance with company policies.
- Verify hours worked, overtime, shift differentials, gratuities, service charges, commissions, bonuses, and applicable deductions.
- Ensure payroll data is entered accurately and processed within established deadlines.
- Audit payroll registers prior to final submission and reconcile discrepancies.
- Process payroll adjustments, retroactive pay, off-cycle payrolls, final paychecks, and manual checks when necessary.
- Maintain accurate payroll records and employee earnings history.
- Prepare payroll reports for Finance, Human Resources, and management.
- Balance payroll totals and reconcile payroll-related accounts.
Human Resources & Employee Support
- Assist employees with payroll-related questions regarding pay, taxes, deductions, direct deposit, PTO balances, and earnings statements.
- Process employee status changes including new hires, transfers, promotions, compensation changes, and terminations.
- Maintain employee payroll files while ensuring confidentiality.
- Coordinate with HR to ensure accurate employee information and employment records.
Compliance & Payroll Administration
- Ensure compliance with all federal, state, and local wage and hour regulations.
- Maintain compliance with Fair Labor Standards Act (FLSA), payroll tax regulations, garnishments, child support orders, and wage assignments.
- Process payroll tax deductions and ensure accurate reporting.
- Maintain confidentiality of sensitive employee and payroll information.
- Assist with payroll audits and year-end processing including W-2 preparation and reconciliation.
Reporting & Systems
- Utilize ADP Workforce Now to manage payroll and employee information.
- Generate payroll reports, labor reports, and analytics for leadership.
- Monitor payroll trends and identify opportunities to improve efficiency and accuracy.
- Assist with payroll system testing, upgrades, and process improvements.
Qualifications
- Minimum of 3 years of payroll processing experience, preferably in hospitality, resort, hotel, or multi-location operations.
- MUST have attention to detail.
- Experience processing high-volume payroll from beginning to end.
- Strong working knowledge of payroll laws and wage and hour regulations.
- Experience with ADP Workforce Now or comparable HRIS/payroll systems preferred.
- Intermediate to advanced Microsoft Excel skills.
- Excellent mathematical, analytical, and organizational skills.
- Strong attention to detail with exceptional accuracy.
- Ability to prioritize multiple deadlines while maintaining confidentiality.
- Excellent customer service and communication skills.
Preferred Qualifications
- Experience with hospitality payroll including tipped employees, service charges, and multiple pay structures.
- Human Resources experience is a plus.
- CPP (Certified Payroll Professional) certification preferred but not required.
- ADP payroll experience preferred.
Physical Requirements
- Ability to sit for extended periods while working on a computer.
- Frequent use of computers, calculators, and office equipment.
- Ability to occasionally lift up to 20 pounds.
- Ability to communicate effectively in person, by telephone, and through email.
- Ability to occasionally walk throughout the resort to meet with employees and department managers.
