Job Summary The Payroll Specialist supports the accurate and timely administration of payroll and HR systems across Proficient Auto Logistics (“PAL”) and its affiliated entities. Reporting to the Payroll & HRIS Manager, this role serves as a key operational partner in payroll processing, employee data management, reporting, and compliance activities for a multi-state workforce that includes drivers, operations employees, and corporate staff. The Payroll Specialist will work closely with Human Resources, Accounting, and Operations to ensure payroll transactions are processed accurately, employee records are maintained, and payroll-related issues are resolved promptly. This position also supports ongoing improvements to payroll processes, controls, and HR systems as the Company continues to grow. Essential Duties and Responsibilities- Processes the end-to-end payroll process for a multi-state workforce, ensuring payroll is processed accurately and on time.
- Review and validate payroll transactions, including hires, terminations, compensation changes, deductions, garnishments, benefit elections, time records, paid time off, and leave activity.
- Assist with the administration of driver and operations compensation programs, including variable pay components, incentives, per diem programs, and other earnings elements.
- Investigate and resolve payroll discrepancies and employee questions in a timely and professional manner.
- Maintain employee records and organizational data within Paycor and related systems, processing employee lifecycle transactions such as onboarding, transfers, promotions, leaves of absence, and separations.
- Support integrations between payroll, HR, benefits, recruiting, timekeeping, and operational systems to ensure data accuracy and consistency.
- Generate recurring and ad hoc reports for Human Resources, Finance, and business leaders and assist with payroll reconciliations and related reporting activities.
- Help ensure compliance with federal, state, and local payroll laws and regulations, including wage and hour requirements, payroll tax obligations, and garnishment administration.
- Support year-end payroll activities, including W-2 processing, tax filings, reconciliations, and audits.
- Maintain payroll documentation, standard operating procedures, and internal controls designed to ensure accuracy and compliance.
- Partner cross-functionally with internal stakeholders to improve payroll processes, strengthen controls, and enhance the employee experience.
- Participate in acquisitions, organizational changes, system implementations, and other strategic initiatives that impact payroll and employee data.
- Assist with the Company's ongoing public-company readiness efforts, including the development and documentation of processes and controls to support future Sarbanes-Oxley compliance.
- Bachelor's degree in Human Resources, Accounting, Finance, Business Administration, or equivalent combination of education and experience.
- Three to five years of payroll, HRIS, or related experience.
- Experience processing payroll for hourly, salaried, and variable-pay employees; experience in transportation and logistics preferred.
- Experience with Paycor or comparable payroll and HRIS systems.
- Strong proficiency in Microsoft Excel, including formulas, lookups, pivot tables, and data analysis.
- Knowledge of payroll laws, wage and hour regulations, payroll taxes, and garnishment requirements.
- Excellent attention to detail and ability to manage confidential information.
- Strong analytical, organizational, and problem-solving skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
