    Position Overview

    Greenville ISD is seeking a detail-oriented and customer-focused Payroll Specialist to support the compilation and preparation of district payroll. This position ensures accurate and timely processing of payroll records in accordance with established procedures and regulations, while serving as a primary point of contact for employees with payroll-related questions. The Payroll Specialist works under the direction of the Director of Payroll to maintain the accuracy, confidentiality, and integrity of district payroll operations.

    Primary Purpose

    Process and maintain the district's payroll in an accurate and timely manner while ensuring compliance with applicable federal, state, and district requirements. Work under moderate supervision to ensure accurate and timely preparation of payroll records according to prescribed procedures and regulations. Maintain confidentiality of employee information at all times. Serve as a key customer service representative for Greenville ISD, assisting new and current employees with payroll questions.

    Qualifications

    Education and Certification

    • High school diploma or equivalent required
    • Associate degree in Accounting, Business Administration, Finance, or a related field preferred

    Special Knowledge and Skills

    • Knowledge of basic payroll accounting procedures
    • Ability to maintain accurate and auditable records
    • Proficiency in keyboarding and file maintenance
    • Ability to work with numbers in an accurate and rapid manner to meet established deadlines
    • Effective organizational, communication, and interpersonal skills
    • Proficiency in Skyward
    • Proficiency in Microsoft Office, with expertise in Word, PowerPoint, and Excel
    • Detail-oriented and comfortable working in a fast-paced office environment

    Experience

    • Three or more years of experience in payroll or a related area of expertise, including experience as a support facilitator in payroll administration

    Major Responsibilities and Duties

    Payroll Processing

    • Prepare accurate semi-monthly district payroll for distribution to employees following established procedures.
    • Receive and audit time sheets for all district employees. Calculate employee wages, salaries, hours worked, overtime pay, and determine withholdings, deductions, and net pay.
    • Balance payroll earnings and deductions; initiate related transfers of funds and deposits.
    • Maintain district payroll registers, employee payroll information, and other original documentation in an orderly and accurate manner in accordance with state, federal, and district requirements.

    Data Entry

    • Prepare and post all payroll changes, including payroll deductions, salary changes, terminations, and new employee information.
    • Compile, maintain, and file all reports, records, and other required documents, including payroll records and absent-from-duty reports.
    • Prepare and submit payroll reports and forms, including those required by the Internal Revenue Service, Teacher Retirement System, Federal Insurance Contributions Act (FICA), and Medicare.
    • Research and reconcile attendance reports for district staff on a semi-monthly basis.
    • Enter new direct deposit forms and process related changes.
    • Input extra hours and extra duty forms submitted by campus personnel.
    • Scan payroll correspondence, including but not limited to timesheet adjustment forms, extra duty forms, and direct deposit forms.
    • Perform other duties as assigned.

    Physical Demands

    • Frequent sitting, keyboarding, and use of office technology.
    • Occasional standing, walking, bending, stooping, reaching, lifting, and carrying items weighing less than 15 pounds.

    Environmental Factors

    • Work in a standard office environment.
    • Occasional districtwide travel as needed.
    • Frequent use of computers, printers, copiers, calculators, and other office equipment.

    Mental Demands

    • Ability to manage multiple priorities while meeting strict payroll deadlines.
    • Ability to work with frequent interruptions.
    • Maintain emotional control under pressure while exercising sound judgment and attention to detail.
