Accounting Specialist

Key Responsibilities
1. Cash Management & Reconciliations
- Perform daily cash reconciliations for multiple bank accounts to ensure real-time accuracy.
- Complete comprehensive monthly bank reconciliations.
- Manage weekly intercompany billing between two entities, ensuring 100% accuracy in cross-company charges.
2. Accounts Payable (A/P) & Document Control
- Collaborate with colleagues to process vendor bills for payment
- Proactively follow up on missing invoices and resolve discrepancies with vendors.
- Verify all bills via 3-way matching
- Expediting "urgent-pay" bills as required
- Set up new vendors and verify their bank information prior to payment
- Prepare approved bills for the weekly payment run. Ensure every payment (ACH or Check) has all supporting backup documentation for CFO approval.
- Important: Responsible for creating and maintaining an audit trail by saving all required documentation to our data server.
3. Accounts Receivable (A/R) & Invoicing
- Handle daily invoicing, ensuring all operational details are captured accurately.
- Manage the upload of invoices to specific customer portals, adhering to varied client requirements.
- Proactively request and file resale certificates for all new customers to ensure tax compliance.
- Review Accounts Receivable weekly and follow up with past due customers as needed.
4. Commissions & Expense Tracking
- Track and calculate sales commissions for 3rd party contractors. This involves understanding which customers and POs fall under specific commission structures.
- Code corporate credit cards (Amex/Chase) correctly to ensure departmental budget accuracy.
5. Audit Support
- Assist in pulling selections and providing documentation for 2-3 bank audits and 1 financial audit per year.
Qualifications & Skills
- Experience: 2+ years of accounting experience (A/P, A/R, and General Ledger).
- Technical Skills: Moderate to advanced Excel skills. Experience with QuickBooks is plus.
- Detail Oriented: Maintain a rigorous system for bill tracking and commission reconciliation to eliminate errors and ensure precise payment processing.
- Communication: A "good temperament" is essential. You will be working in a collaborative cubicle environment and must be able to communicate professionally with both staff and C-Suite.
- Reliability: We need a "show-up every day" professional. Consistency and honesty are the pillars of this department.
