Status: Non-Exempt, Full-Time
Salary: $30.00 - $35.00/Hourly DOE

POSITION SUMMARY
The Accounting Specialist is a key member of the Division Accounting team and supports the Division Controller in maintaining accurate financial records, project accounting, reporting, and operational financial processes. The role is responsible for a combination of accounts payable, accounts receivable (minimal support if needed) job-cost accounting, reconciliations, and financial analysis activities that contribute to the overall financial health of the division. The successful candidate demonstrates strong knowledge of accounting, attention to detail, sound judgment, and the ability to support both transactional processing and financial decision-making.
JOB DUTIES:
Accounts Payable
- Manage the full accounts payable cycle, including invoice processing, coding, approvals, payment administration, and vendor record maintenance.
- Ensure vendor invoices, subcontractor pay applications, and supporting documentation are accurate, compliant, properly approved, and recorded in the appropriate accounting period.
- Reconcile vendor accounts, investigate discrepancies, and maintain accurate aging and payment information.
- Support division cash-flow management through timely payment processing, vendor communication, and reporting.
- Maintain supplier relationships and assist with vendor onboarding, compliance documentation, credit applications, and related administrative needs.
Job Cost and Construction Accounting
- Support project accounting activities by ensuring revenue and costs are accurately recorded and allocated to the appropriate job, phase, cost code, and cost type.
- Assist with job-cost analysis, work in process reporting and other construction accounting schedules.
- Partner with project management and accounting leadership to research variances, unusual activity, and margin or cost concerns.
- Help maintain the completeness, accuracy, and integrity of project financial data in the accounting system.
General Accounting and Controller Support
- Perform account reconciliations, recurring journal entries, and other general accounting functions.
- Support month-end, quarter-end, and year-end close processes, including investigation and resolution of variances or unusual activity.
- Assist with financial statements, management reporting, analysis, audits, and special projects.
- Maintain organized accounting records, appropriate supporting documentation, and strong internal control practices.
- Identify and support process improvements that enhance efficiency, accuracy, consistency, and financial visibility.
- Provide backup support across accounting functions and escalate material issues to the Division Controller when appropriate.
Cross-Functional Partnership
- Partner with Project Managers, Superintendents, Operations, Purchasing, vendors, subcontractors, customers, and other stakeholders to resolve accounting and project-related issues.
- Communicate professionally and help project teams understand accounting processes, documentation requirements, billing procedures, and job-cost practices.
- Promote accountability, timely follow-up, and continuous improvement across division financial processes.
KEY SUCCESS FACTORS
Success in this position requires the ability to manage accounting details while understanding the overall financial picture of the division. The Accounting Specialist is expected to be proactive, resourceful, and comfortable taking ownership of issues from identification through resolution. The position serves as a trusted extension of the Division Controller by helping maintain accurate records, supporting project and operational teams, improving accounting processes, and providing timely information for business decisions.
The Accounting Specialist is expected to support the financial and operational needs of the division. Responsibilities may evolve based on business requirements, organizational growth, system implementations, cross-training needs, and special projects. The employee may be assigned other related duties consistent with the purpose and level of the position.
QUALIFICATIONS:
- Three or more years of accounting experience, preferably in construction or another project-based industry.
- High School Diploma (or equivalent)
- Working knowledge of accounts payable, account reconciliations, and general accounting processes.
- Experience with job costs or construction accounting is strongly preferred.
- Strong Excel skills, including formulas, filters, pivot tables, and large data sets.
- Strong analytical, organizational, problem-solving, written, and verbal communication skills.
- Ability to manage multiple deadlines, work independently, collaborate across teams, and maintain accuracy in a fast-paced environment.
- High level of integrity and discretion when handling financial and confidential information.
- Construction accounting experience, including WIP reporting, percentage-of-completion accounting, or project-based financial reporting.
- Familiarity with subcontractor compliance, lien waivers, and construction billing requirements.
- Experienced in vendor compliance and AP processes.
SPECIAL POSITION REQUIREMENTS:
- Must have and maintain a valid driver’s license, vehicle insurance, and driving record in compliance with Company policy.
- Primarily sedentary work with prolonged periods of sitting at a desk and working on a computer.
- May need to attend occasional required meetings in person.
- Set up for remote work-desk, stable internet connection.

- Monday-Friday 8:00am-4:30pm
