Position Summary
The Accountant supports the financial health and integrity of Black Women for Wellness by maintaining accurate financial records and performing essential accounting functions. This role is responsible for general ledger activity, account reconciliations, accounts payable and receivable, expense tracking, grant-related financial documentation, and month-end and year-end accounting activities.
Working closely with finance leadership and staff across the organization, the Accountant helps ensure financial transactions are processed accurately, documentation is complete, and accounting practices support timely reporting, compliance, and responsible stewardship of BWW's resources.
Responsibilities and Tasks

Maintain accurate, complete, and organized financial records and supporting documentation in accordance with organizational policies, accounting standards, and retention requirements.

Prepare and record journal entries, maintain the chart of accounts, and ensure accurate coding and classification of revenue, expenses, assets, and liabilities in the general ledger.

Review financial transactions for completeness, accuracy, documentation, and proper authorization, and research and resolve discrepancies in a timely manner.

Process invoices, payments, reimbursements, and other expenses accurately and on time, reviewing documentation for appropriate approvals, coding, and supporting information.

Maintain vendor and accounts payable records, respond to routine payment and documentation inquiries, and assist with year-end vendor reporting.

Record and track revenue from grants, contributions, contracts, and other funding sources, maintaining accounts receivable records, monitoring outstanding balances, and assisting with invoices for contracts and other receivables.

Reconcile revenue records with development and grant-management records, coordinating with staff to resolve discrepancies, and maintain documentation supporting restricted and unrestricted revenue.

Perform monthly bank, credit card, balance sheet, and other account reconciliations, following up on outstanding expense documentation.

Support finance leadership with an efficient and accurate month-end and year-end close, reviewing general ledger activity for items requiring correction, reclassification, or documentation, preparing supporting schedules for reporting and account analysis, and tracking outstanding items through resolution.

Track, allocate, and document expenses across departments, programs, grants, and funding sources to support accurate financial reporting and compliance with funding requirements.

Maintain documentation for restricted grants and contracts, monitor grant spending, and reconcile grant budgets to accounting records and financial reports, flagging discrepancies or documentation needs for finance leadership.

Assist with grant reimbursement requests, financial reports, and other funder-required documentation, partnering with program and development staff to resolve grant-related financial questions.

Support payroll processing by recording payroll activity, maintaining documentation and account coding, reconciling payroll-related accounts, and coordinating with staff or external payroll providers to resolve discrepancies.

Maintain documentation of payroll, benefits, and other personnel costs, support the allocation of personnel expenses across programs, departments, and grants, and protect the confidentiality of payroll and employee financial information.

Prepare schedules, reports, and documentation for annual audits, tax preparation, funder reviews, and other financial examinations, responding to routine requests from auditors, accountants, funders, and authorized staff and assisting with implementing resulting recommendations.

Follow established internal controls, accounting procedures, and financial policies, escalating incomplete documentation, unusual transactions, or potential compliance concerns appropriately.

Maintain accurate information in BWW's accounting and financial management systems, and develop and maintain schedules, trackers, templates, and other financial tools as needed.

Identify recurring accounting issues and recommend practical improvements to procedures, documentation, and workflows, collaborating with finance leadership to keep processes organized, consistent, and responsive to organizational needs.

Assist staff with routine questions regarding expense coding, reimbursements, documentation, and financial procedures.

Perform other related duties as assigned in support of BWW's mission and organizational goals.
Required Qualifications
-
Bachelor's degree in Accounting, Finance, Business Administration, or a related field, or an equivalent combination of education and relevant professional experience.

Minimum of 5 years of professional accounting or financial management experience, including general ledger accounting, journal entries, account reconciliations, accounts payable and receivable, and month-end close with accurate supporting schedules and documentation.

Working knowledge of generally accepted accounting principles (GAAP) and familiarity with federal, state, and local grant and contract financial requirements.

Strong proficiency with QuickBooks or other nonprofit accounting systems and with Microsoft Excel and/or Google Sheets.

Strong numerical, analytical, and problem-solving skills, with careful attention to detail and the ability to identify discrepancies, coding errors, or incomplete documentation in financial transactions.

Strong organizational and time-management skills, with the ability to maintain organized financial records, manage multiple recurring deadlines, and work both independently and collaboratively.

Strong written and verbal communication skills, with the ability to explain routine financial matters clearly to colleagues.

Ability to handle confidential financial and personnel information with discretion and sound judgment.

Commitment to the accurate, ethical, and responsible stewardship of organizational resources and to health equity, racial justice, gender justice, reproductive justice, and community well-being.
Valued and Preferred Experience
-
Accounting experience in a nonprofit, community-based, public health, advocacy, or social justice organization with multiple programs, grants, and funding sources.

Experience with grant accounting, grant reimbursements, and funder financial reporting.

Experience preparing documentation and schedules for nonprofit audits and tax filings.
-
Familiarity with payroll accounting and personnel cost allocations.

CPA certification or another relevant accounting credential.
