Job Summary: As the Time & Materials (T&M) Billing Specialist you will report directly to the Billing Manager. You'll spend about 70% of your time with T&M billings; another 25% assisting Project managers with Cost Research and Code Setup, catching problems early on to resolve them efficiently; and the remaining 5% with various other accounting issues. In a role that requires daily interaction with such a wide range of individuals including Project Managers and customers, the true "keys to success" will lie in the ability to build strong working relationships with various personality types through diplomacy, teamwork, superb communication skills, and a "customer service" approach. Essential Duties and Responsibilities: • Assist the Billing Manager in implementing solid, cost-recoverable T&M billings to ensure that we always maximize our billing potential. • Research and resolve job/project cost issues through investigation and analysis. • Prepare monthly billing projections and submit for invoice preparation on a timely basis. • Assist PMs with Job Cost reports and analysis as well as maintaining change order logs. • Set up new construction jobs in our system, assigning cost-tracking numbers and communicating with the project managers in a timely manner. • Maintain regional responsibility for researching issues and explaining and/or training personnel to Company's accounting software. • Serve as a back up to all billing functions, including invoice entry, document preparation, document storage, and address any other billing/cost related questions and issues with project managers and sales managers. • Learn and be a key user of our industry specific accounting/project management software. • Perform other duties and responsibilities, as assigned by Manager. Position Requirements (Work Experience, Skills, Licenses, etc.): • Confidently manage the expectations of individuals and effectively juggle conflicting priorities. • Demonstrate initiative and aim to achieve your goals with a great degree of independence but also know when to ask for help or clarification. • Execute your activities with technical proficiency but also understand the big picture context of your activities and keep an eye out for ways to improve our processes. • Flexibility as our developing department and growing organization will require the ability to effectively manage change and quickly shift priorities as needed. Education and Experience: • Strong analytical and problem-solving skills with attention to detail. • A driven self-starter that can take the lead on initiatives and follow-through on existing commitments. • Ability to multitask in a fast paced and deadline driven environment. • Strong proficiency in Microsoft Office, particularly Excel, and Word. • Good communication skills, verbal and written. Be able to communicate effectively with project managers, customers, co-workers and executives. Required: • 5+ years of experience in billing/accounting. • Experience with PDF form filler software Desired: • Bachelor’s degree in a related field. • Construction industry experience is highly desirable. • Knowledge of ERP Cost reporting, JD Edwards is preferred. Job Responsibility Level: No direct reports Travel Requirements: Travel required 0-5% of the time to other office locations. Hours: This is a non-exempt position from Monday through Friday. Work hours begin and end between 8:00 am and 5:00 pm with a one-hour break for lunch and two rest breaks. Eight hours per day is required and other occasional overtime may be necessary for business needs Physical Demands: • Must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 30 pounds. • Specific vision abilities required by this job include close vision and ability to adjust focus. • Prolonged sitting. • Frequently required to reach with hands and arms. • Occasionally required to stand; walk and stoop, kneel, crouch. Competitive Wages: $26.92-$33.65 per hour.
