Position Summary
The Substitute Secretary provides clerical, administrative, and customer service support during the absence of regular office personnel. The substitute assists with the efficient operation of the school or department by performing office duties, maintaining records, communicating with students, staff, parents, and the public, and ensuring confidential information is handled appropriately in accordance with Boone County Schools policies and procedures.
Essential Duties and Responsibilities
- Answer telephones, greet visitors, and provide courteous assistance to students, staff, parents, and the public.
- Perform general clerical duties including typing, filing, copying, scanning, and preparing correspondence and reports.
- Maintain accurate student, personnel, financial, or departmental records as assigned.
- Utilize district computer systems and office software to enter and retrieve information.
- Process incoming and outgoing mail and distribute messages and materials.
- Assist with student attendance, enrollment, check-in/check-out procedures, and other office functions as assigned.
- Maintain confidentiality of student records, personnel information, and other sensitive information in accordance with federal and state laws.
- Schedule appointments, meetings, and maintain calendars as directed.
- Assist administrators and staff with daily operational needs and special projects.
- Operate standard office equipment including computers, printers, copiers, scanners, calculators, and multi-line telephone systems.
- Maintain an organized and professional office environment.
- Follow all Boone County Schools policies, procedures, and safety protocols.
- Perform other duties as assigned by the Building Principal, Department Supervisor, or Superintendent.
Minimum Qualifications
- High school diploma or GED required.
- Previous office, clerical, or customer service experience preferred.
- Successful completion of required criminal background check and employment screenings.
- Basic computer proficiency, including word processing, email, and data entry.
- Ability to perform the essential functions of the position.

Working Conditions
The Substitute Secretary works in school offices, central office departments, or other district facilities. The position requires frequent interaction with students, staff, parents, and visitors while maintaining a professional and welcoming office environment.
Terms of Employment
Employment is on an as-needed substitute basis. Compensation shall be established by the Boone County Board of Education in accordance with applicable West Virginia Code, Board policy, and the approved substitute salary schedule.
Evaluation
Performance shall be evaluated by the Building Principal, Department Supervisor, or designee in accordance with Boone County Schools policies and procedures.
