Location: Adult LPN Program / Boone Career and Technical Center
Immediate Supervisor: Director/Administrator of Adult Education and/or LPN Program Administrator
POSITION SUMMARY
The Secretary/Accountant â Adult LPN Program provides clerical, financial, recordkeeping, and administrative support necessary for the efficient operation of the Adult Licensed Practical Nursing (LPN) Program. The employee will work directly with the LPN administration and instructional staff to maintain student records, financial documentation, program correspondence, purchasing records, and other required documentation.
This position is dedicated to providing secretarial and accounting support for the Adult LPN Program during the assigned daily work schedule.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Perform general secretarial and clerical duties for the Adult LPN Program.
- Answer telephone calls, respond to routine inquiries, take messages, and provide appropriate information to students, prospective students, staff, and the public.
- Maintain student files and program records in accordance with applicable school system, state, federal, accreditation, and program requirements.
- Assist with student enrollment, applications, registration materials, attendance records, and other required LPN program documentation.
- Prepare correspondence, reports, forms, spreadsheets, letters, notices, and other program documents.
- Maintain accurate financial records related to the LPN Program, including receipts, deposits, invoices, purchase orders, expenditures, and other accounting documentation.
- Assist with collection and documentation of tuition, fees, books, supplies, testing fees, and other student or program-related charges as assigned.
- Prepare and maintain financial reports and reconcile program records with applicable county financial records.
- Process purchase orders, requisitions, invoices, and requests for payment in accordance with Boone County Schools procedures.
- Maintain inventory records for LPN instructional materials, equipment, textbooks, uniforms, supplies, and other program property as assigned.
- Assist in maintaining records required for audits, accreditation reviews, program monitoring, and financial compliance.
- Maintain student attendance and assist with preparation of attendance reports and other required student documentation.
- Assist with scheduling, correspondence, and documentation associated with clinical experiences, testing, student orientation, graduation, and other LPN program activities.
- Maintain confidentiality of student, employee, financial, and program information in accordance with applicable laws, policies, and regulations.
- Organize and maintain electronic and paper filing systems for the LPN Program.
- Coordinate communications between the LPN Program, students, instructors, clinical partners, the Career and Technical Center, and the Boone County Schools Central Office as directed.
- Assist the program administrator with preparation of reports and documentation required by the West Virginia Department of Education, West Virginia Board of Examiners for Licensed Practical Nurses, accrediting agencies, and other applicable entities.
- Assist with preparation and maintenance of documentation related to program expenditures and funding sources.
- Receive, organize, and distribute program mail, correspondence, records, and materials.
- Maintain an organized and professional office environment and provide courteous assistance to students, employees, and members of the public.
- Operate computers, copiers, scanners, calculators, telephone systems, and other standard office equipment.
- Perform other duties related to the Adult LPN Program as assigned by the immediate supervisor.
QUALIFICATIONS
The successful applicant must:
- Meet all qualifications for the applicable Secretary/Accountant classification as required by West Virginia law and Boone County Schools.
- Possess appropriate skills in bookkeeping, accounting, recordkeeping, filing, and general office procedures.
- Demonstrate proficiency in computer applications, including word processing, spreadsheets, email, and electronic recordkeeping systems.
- Possess effective oral and written communication skills.
- Demonstrate the ability to maintain accurate and confidential records.
- Demonstrate the ability to work independently, organize multiple responsibilities, and meet established deadlines.
- Successfully complete any required competency testing and/or meet applicable classification requirements.
WORK SCHEDULE
240-Day Contract â 0.50 Position
MondayâFriday, 8:00 a.m.â11:30 a.m., unless otherwise directed in accordance with the employee's contract and applicable policies.
SALARY
Salary and benefits shall be established according to the Boone County Schools salary schedule, applicable West Virginia law, employee classification, experience, and the 0.50 employment assignment.
EVALUATION
Performance will be evaluated in accordance with Boone County Schools policies and procedures applicable to service personnel.
TERMS OF EMPLOYMENT
Employment is subject to applicable provisions of West Virginia Code, West Virginia Board of Education policy, Boone County Board of Education policy, and the rules and regulations governing service personnel.
