REPORTS TO: School Principal and Finance Officer
BASIC FUNCTION:
Under general supervision, to perform specialized accounting, budget control and clerical functions in maintaining financial records, utilizing manual and computer processes and to perform other work-related duties as required at the school site.
REPRESENTATIVE DUTIES:
- Perform specialized and technical functions in assembling, tabulating, calculating, verifying, and filing accounting, and fiscally related information and data.
- Perform fiscal and record management operations related to one or more specialized accounting, budget control functions.
- Assist in the implementation of accounting, budget control, and record management systems and procedures as directed by the Finance Officer.
- Verify, balance, adjust and assure the accuracy of assigned accounts; receive, verify and audit invoices and receipts for supplies, equipment and services; contact District personnel to verify orders, receipts and signatures.
- Collect, receipt, records and deposit monies; sort and post to appropriate accounts; reconcile cash, receipts and statements; resolve or assist in the resolution of discrepancies and errors.
- Prepare and verify the accuracy and completeness of financial files, records, and reports.
- Compile, sort, code, tabulate, post and compare financial and statistical data; verify availability of funds; extend and balance accounts and post to various records and reports.
- Explain financial procedures to club and activity sponsors to ensure proper record-keeping for all club and activity funds.
- Assist employees with on the job training in the use of absence management and time-keeping systems.
- Verify time-keeping records and absence records match and are submitted on time to the district payroll office.
- Ensure that all leave affidavit forms are completed by employees and returned to district office in a timely fashion.
- Prepare and generate a variety of financial and statistical reports, lists and summaries; enter, compile and tabulate data for inclusion in departmental reports; prepare, maintain and file lists, records, reports and other documents.
- Work with a computer-based accounting system.
- Make complex mathematical calculations and verify computations.
- May interpret and provide information regarding routine legal mandates, policies, regulations, and operational guidelines to School personnel.
- Operate computers, business office machines and equipment.
- Maintains regular attendance. It is an essential job function that all employees report to work.
- Maintains an appropriate professional appearance.
- Perform other duties as assigned.

- Basic accounting practices and procedures.
- Interpersonal skills using tact, patience and courtesy.
- Knowledge of applicable sections of Kentucky Administrative Regulations and other applicable laws.
- Correct English usage, grammar, spelling, punctuation and vocabulary.
- Modern office practices, procedures and equipment.
- Operation of a computer and other office equipment.
- Telephone techniques and etiquette.

- Perform routine clerical accounting duties in the maintenance of assigned accounting records.

- Add, subtract, multiply and divide quickly and accurately.
- Ability to keep complex records and to assemble and organize data for preparing reports.
- Maintain accurate financial and statistical records and compile data from clearly indicated sources.
- Ability to learn and manage multiple electronic systems.
- Ability to use file sharing programs.
- Operate standard office equipment.
- Communicate effectively both orally and in writing
- Learn and apply office policies, rules and practices.
- Prepare data processing input documents rapidly and accurately.
- Meet schedules and time lines/deadlines.
- Work cooperatively with others.
PHYSICAL DEMANDS
The physical requirements indicated below are examples of the physical aspects that this position classification must perform in carrying out essential job functions.
- Persons performing service in this position classification will exert 10 to 20 pounds of force frequently to lift, carry, push, or otherwise move objects
- This type of work involves sitting most of the time, but may involve walking or standing for brief periods
- Perceiving the nature of sound, near and far vision, depth perception, proving oral information, the manual dexterity to operate business related equipment, and handle and work with various materials and objects are important aspects of this job
- Work is performed with standing, sitting and/or walking
- Requires the ability to communicate effectively using speech, vision and hearing
- Requires the use of hands for simple grasping and fine manipulations
- Requires bending, squatting, crawling, climbing, reaching
- Requires the ability to lift, carry, push, or pull light weights up to approximately 20 pounds

EDUCATION AND EXPERIENCE:
Any combination equivalent to: high school diploma, G.E.D. Certificate or demonstrated progress toward obtaining a G.E.D. as required by Kentucky law.

TERMS OF EMPLOYMENT/ WORK REQUIREMENTS:
Elementary Level Positions: 195 days, 7.5 hours per day
