Receptionist & Accounts Payable Specialist

- Answer and direct incoming telephone calls.
- Welcome visitors, customers, vendors, and contractors.
- Manage visitor sign-in procedures and facility access requirements.
- Receive and distribute mail, packages, and deliveries.
- Maintain a professional and organized reception area.
- Receive and process vendor invoices.
- Review invoices for accuracy and required approvals.
- Route invoices through established approval processes.
- Maintain vendor records and supporting documentation.
- Respond to vendor questions regarding invoice and payment status.
- Coordinate with corporate Accounts Payable to resolve invoice issues.
- Order and maintain office supplies.
- Scan, file, organize, and maintain business records.
- Assist with employee communications and office notices.
- Support People Operations and other departments with routine administrative tasks.
- Coordinate with service providers and office vendors as needed.
- High school diploma or equivalent.
- Proficiency with Microsoft Outlook, Word, and Excel.
- Strong customer service and communication skills.
- Excellent organization and attention to detail.
- Ability to manage multiple tasks while maintaining accuracy.
- Professional demeanor and commitment to confidentiality.
- Associate degree in Business, Accounting, Office Administration, or a related field.
- Two or more years of experience in reception, administrative support, accounts payable, customer service, or a similar role.
- Experience processing invoices or maintaining business records.
- Experience with ERP, accounting, or accounts payable software.
- Friendly and professional with visitors, employees, and vendors.
- Reliable and dependable with strong attendance.
- Comfortable handling confidential information.
- Able to work independently while supporting a team environment.
- Flexible and able to adjust priorities as business needs change.
