Dominican University New York seeks a full time Procurement Specialist to work closely with the Director of Purchasing in all procurement processes including bid development and management, product research and pricing as well as new vendor research. This position works with all levels of the community by advising departments on purchasing policies and procedures to obtain quality products and/or services at the best possible value.
Responsibilities
- Review departmental requisitions for compliance with all policies, resolve issues about the inquiry with requestors and submit to Director of Purchasing for approval.
- Process purchase requisitions to purchase orders including timely vendor information and compliance with all policies; Provide quotes as requested.
- Prepare RFP/Q according to policy; prepare Bid Evaluation and forward to DOP for review and discussion.
- Maintains expert knowledge of purchasing systems including CRM and Jenzabar and assists other departments as necessary.
- Monitors and maintains RFP/Q log and digital quote filing system.
- Manage existing contracts specifically copiers, car rentals, business cards, laundry equipment and consulting agreements.
- Respond to end users’ questions on policies, procedures, request for specification and pricing assistance.
- Prepare a variety of written materials (orders, memos, specifications, schedules, etc.) documenting activities, providing written information related to the University’s purchasing activities.
- Finalize and close out all open PO’s for the end of the year closing. Assist Controller and AP office on any issues during the closing process.
- Responsible for supporting the director on commencement, facilities, dining, mailroom, fleet management, etc.
- Support University’s efforts in generating grant proposals as needed and post-award activity as called for by specific grant.
- Price comparison for all non-quote orders (Amazon, Lowes, etc.) placed and confirm funds are available to spend for all of the University.
- Backs up the DOP during their absence as needed. Keeps abreast of any issues that may affect timelines or completions and informs the DOP.
- Performs Mailroom duties to assist with the Student Mailroom. Trains and mentor’s student workers on the proper way to use the Pitney Bowes Tracking System and how to properly inventory items for pickup.
- Trains stakeholders on the proper usage of the EFLEET rental portal.
- Assist faculty and staff using a Grant for traveling with University procedure and credit card payments as necessary.
- Perform other duties as assigned.
Qualifications
Bachelor’s Degree or 5 years of combined education and experience Knowledge of Microsoft software and supporting programs; i.e. Excel. Word, Outlook. Ability to efficiently organize and manage workload are required. Excellent verbal and writing skills and at least two years procurement experience.
