ABOUT THE ROLE (Remote)
The Payroll Specialist is responsible for the accurate and timely processing of payroll and related activities for company employees. This role ensures compliance with applicable federal, state, and local payroll requirements while maintaining accurate records, resolving payroll issues, and providing responsive support to employees and management. The Payroll Specialist partners closely with Human Resources, Finance, and company leaders and handles confidential information with discretion.
Principal Duties and Responsibilities
- Process payroll accurately and on schedule in accordance with the company payroll calendar.
- Review, audit, and validate employee timekeeping records, earnings, deductions, benefit elections, and tax withholdings.
- Maintain payroll records for new hires, wage changes, promotions, transfers, leaves of absence, and terminations
- Prepare and process payroll adjustments, bonuses, commissions, retroactive pay, and other special payments.
- Administer garnishments, child support orders, tax levies, and other required deductions.
- Reconcile payroll registers and related reports before payroll is submitted.
- Investigate and resolve payroll discrepancies and employee questions in a timely, professional manner.
- Support month-end and year-end payroll reconciliations, reporting, and close activities
- Assist with annual W-2 processing and other payroll tax reporting requirements.
- Prepare payroll reports for Finance, Human Resources, management, and auditors
- Maintain complete payroll documentation and records in accordance with company retention requirements
- Monitor payroll activities for compliance with wage and hour requirements and company policies
- Identify opportunities to strengthen payroll processes, controls, documentation, and efficiency.
- Support payroll-related audits, compliance reviews, and other Finance initiatives as assigned.
Education
Required: High school diploma or equivalent required
Preferred: Associate degree in Accounting, Finance, Business Administration, or a related field.
Experience
Required: 3 to 5 years of hands-on payroll processing experience. Working knowledge of payroll practices, payroll taxes, garnishments, and wage and hour requirements. Experience using a computerized payroll and timekeeping system. Proficiency in Microsoft Excel, including formulas, lookups, and data reconciliation.
Preferred: Experience processing multi-state payroll. Experience with payroll platforms such as ADP, Paylocity, UKG, Workday, Paycom, or a comparable system. Experience supporting payroll-to-general-ledger reconciliations and payroll audits. Fundamental Payroll Certification (FPC), Certified Payroll Professional (CPP), or interest in pursuing a payroll credential.

- Clear written and verbal communication skills and a service-oriented approach to employee questions.
- Ability to maintain strict confidentiality and exercise sound judgment with sensitive employee data.
