The Payroll Specialist will prepare, process, and reconcile the bi-weekly payrolls of the Katz Jewish Community Center (“JCC”) within ADP Workforce Now (“WFN”), covering both the year-round regular staff cycle and the seasonal Medford Camp cycle, and deliver accurate payroll registers to management for approval within established deadlines.

Responsibllties:

Regular JCC Payroll (Year-Round)

  • Prepare bi-weekly payroll year-round for all regular (non-Medford Camp) JCC staff using ADP Workforce Now, where staff record time through ADP WFN Time & Attendance.
  • Email reminders to Reporting Managers on the Monday preceding the Friday pay date to approve PTO and timecards within ADP.
  • Perform Excel manipulation of Fitness & Wellness personal training staff hours exported from MindBody and import the data into ADP WFN using the appropriate ADP CSV template.
  • Incorporate all manual adjustments to employee pay provided by Human Resources.
  • Prepare an Excel reconciliation of any differences between the ADP WFN Time & Attendance reports and the payroll register.
  • Provide the payroll register to the JCC Executive Director for approval.
  • Ensure payroll is accurate and ready to be processed within ADP by 2:00 PM on the Tuesday before the pay date. Pay dates are Fridays, except when a holiday falls on the pay date, in which case the pay date moves to the preceding day.

Medford Camp Seasonal Payroll (June through September)

  • Prepare bi-weekly payroll for all JCC Medford Camp seasonal staff using ADP Workforce Now, processed on the off week from the regular payroll cycle.
  • Work from final approved timesheets maintained by Medford Camp supervisors and submitted via Google Sheets by the Medford Camp Operations Manager; these staff do not use ADP WFN Time & Attendance.
  • Perform Excel manipulation of the timesheets provided via Google Sheets. Where dollar amounts are not provided by the Medford Camp Operations Manager, apply the approved rate after comparing the rates uploaded by Human Resources into ADP WFN against the rates maintained within Campminder.
  • Resolve all rate discrepancies with the Medford Camp Operations Manager before processing.
  • Import the finalized Excel data into ADP WFN using the appropriate ADP CSV template. This payroll is a manual process requiring substantial reliance on Excel skills.
  • Provide the payroll register to the Medford Camp Director for approval, with units of time reconciled to the original Google Sheets timesheets.
  • Ensure payroll is accurate and ready to be processed within ADP by 2:00 PM on the Tuesday before the pay date. Pay dates are Fridays, except when a holiday falls on the pay date, in which case the pay date moves to the preceding day.

Rate Maintenance, Reporting, and General

  • Import new rates for annual merit increases for regular JCC staff, generally effective October 1, as coordinated by Human Resources.
  • Work with JCC Early Childhood management to update teacher discretionary time within ADP.
  • Distribute payroll reports to department heads.
  • Rely on Human Resources to maintain the ADP system; this position does not make direct changes within ADP system configuration or employee master data.
  • Maintain strict confidentiality of all payroll, compensation, and employee information.
  • Alert Supervisor and CFO to potential problems or errors.
  • Help the Finance Department with other projects as needed.

Education

  • High school graduate
  • Previous 3+ years of payroll processing experience
  • Experience processing payroll for both salaried and hourly staff preferred
  • Experience with seasonal or high-volume manual payroll cycles preferred
