Payroll Coordinator / HR Assistant (Hybrid)

Missionwell is seeking a detail-oriented Payroll & HR Assistant to support payroll processing, payroll compliance, employee administration, and HR operations for Missionwell and our nonprofit business partners. This role is ideal for someone who enjoys balancing payroll execution with employee support and administrative coordination.

What You'll Do

Payroll (Primary Focus)

• Process payroll for assigned business partners with accuracy, timeliness, and attention to compliance requirements.
• Research and help resolve payroll discrepancies, tax notices, garnishments, adjustments, and agency correspondence.
• Support payroll system implementations, payroll data audits, testing, and vendor coordination.
• Prepare payroll-related reports and documentation.
• Support workers' compensation audits, payroll reconciliations, and audit requests.
• Maintain payroll records and supporting documentation.
• Monitor payroll deadlines and ensure timely completion of payroll-related tasks.

HR Administration

• Coordinate employee onboarding, offboarding, employment documents, and employee communications.
• Administer background checks and track hiring documentation.
• Maintain personnel files, training records, certifications, and compliance documentation.
• Manage HR and payroll inboxes and respond to employee questions.
• Support HR compliance tracking and employee recordkeeping.

Administrative & Operations Support

• Maintain HR and payroll workflows within Basecamp and other systems.
• Organize documentation across SharePoint, Google Drive, and business platforms.
• Assist with system access requests, phone system administration, and operational processes.
• Collaborate with HR, Accounting, and Operations teams to support client needs.

Required Qualifications

• 1+ year of payroll, accounting, HR, or administrative experience.
• Strong attention to detail and ability to work accurately with confidential data.
• Excellent organizational, problem-solving, and follow-through skills.
• Strong customer service and communication skills.
• Ability to manage multiple deadlines and priorities.
• Proficiency with Microsoft 365, including Excel, Outlook, Word, and Teams.

Preferred Qualifications

• Payroll processing experience.
• Experience with payroll systems such as Gusto, Paylocity, ADP, Paychex, or similar platforms.
• Experience with employee onboarding and HR administration.
• Experience with HRIS, timekeeping, or workforce management systems.
• Nonprofit experience.
• Familiarity with California payroll and employment practices.

Work Location

This position is based in Pasadena, California and follows a hybrid schedule that combines in-office collaboration with remote work flexibility.

Compensation

$22.00-$26.00 per hour, depending on experience, qualifications, and internal equity. This is a non-exempt position and is eligible for overtime compensation in accordance with applicable state and federal laws.

Work Schedule

This role is 20 hours per week with flexible scheduling within normal business hours while maintaining responsiveness to clients and team needs.
