Title: Payroll Clerk
Reports To: Treasurer
Employment Status: Full time – 12 Months
FLSA Status: Exempt
Qualifications:
- High school diploma or equivalent.
- Record of good attendance and strong work ethic.
- Evidence of good moral character as established in section 3301-20-01 of the Ohio Administrative Code.
- Professional tact, diplomacy, and presentation with administrators, staff, teachers, students, parents, and the community.
- Ability to maintain confidential information.
- Demonstrated skills in use of technology for productivity and professional communication.
- Ability to work collaboratively with staff, administrators and the public.
- Demonstrates a sincere desire to aid all staff, students and the community.
- Experience with computerized general accounting procedures.
- Skill with office machines (calculator, computer, etc.).
- Alternatives to the above qualifications as the Board of Education may find appropriate.
General Description:
Is responsible for the systematic processing of regular payroll data and assisting in all related administrative operations associated with department processes.
Essential Functions:
- Completes specified phases of payroll preparation as directed by the Treasurer and/or Assistant Treasurer.
- Verify payroll posting to general journal.
- Operates all phases of computer input, including receipts, posting, purchasing, invoice payment and payroll.
- Produces all month end, quarterly and other reports as directed by the Treasurer.
- Assists in preparation of reports to the State Department of Education, State Auditor’s Office and others as necessary.
- Handles correspondence and inquires with vendors and employees as necessary.
- May assist with or processes and mails out-going purchase orders.
- May assist with or processes and certifies billing purchases for payment.
- May assist with necessary forms and reports for student activity files, sales, profit/loss statements, financial reports, ticket sales, etc.
- May assists with inventory procedures.
- Assists in appropriation procedures, budget development, cost projections and planning.
- Performs research projects as requested.
- Accesses and responds to electronic communication (i.e. website, email, voicemail, etc.) daily.
- Performs other duties as assigned by the Treasurer or Assistant Treasurer.
Other Duties and Responsibilities:
- Serves as a role model for students in how to conduct themselves as responsible citizens.
- Helps instill in students the belief in and practice of ethical principles and democratic values.
- Remains compliant with district policies regarding alcohol and substance use/abuse. (ie: PO 4122.01 and PO 4170)
- Accesses an online verification system to clock-in and out of work each day.
- Reports absence into online reporting system
- Actively participates in professional development provided by the district to stay abreast of expectations, necessary processes, shared procedures, and new resources.
- Maintains confidentiality of records.
- Conducts all work in a safe and responsible manner.
- Conducts other duties as assigned by the Treasurer.
Additional Working Conditions
- Occasional exposure to blood, bodily fluids and tissue.
- Occasional operation of a vehicle under inclement weather conditions.
- Occasional interaction among unruly children.
- Occasional lifting and carrying of 15-30 pounds.
- Repetitive hand motion (e.g. computer keyboard)
- Frequent interruptions of duties by students, visitors, staff and/or telephone.
